Position Summary: (MAT)
ORHMA is seeking a detail-oriented and service-driven individual to join our Finance team as a Levy Collections / Compliance Coordinator for the Municipal Accommodation Tax (MAT) and Marketing Levy collection operation. In this role, you will manage the end-to-end process of MAT/Levy Returns, payment collection, and reconciliation for accommodation operators across Ontario and Nova Scotia, while ensuring clear, timely communication and high service standards. You will work closely with hospitality property owners and municipal partners, acting as a key liaison to support compliance and resolve issues related to MAT and Levy obligations.
Key Responsibilities:
Tax Returns & Collection
▪ Facilitate MAT/Levy returns on municipal tax / levy rates and reporting periods
▪ Administer and maintain the organization's Levy Collection Platform, ensuring database integrity and ongoing development.
▪ Design and implement workflow processes to improve data entry, reporting, and analysis within the platform.
▪ Promote best practices among platform administrators to ensure consistency in data entry, standardization, and reporting.
▪ Develop and maintain internal training materials; facilitate training sessions for platform users.
▪ Collaborate with support teams to troubleshoot performance issues and ensure data accuracy.
▪ Regularly evaluate platform capabilities and encourage optimal usage across the various municipal jurisdictions.
▪ Record and process interest charges and penalties
▪ Monitor aging accounts and conduct follow-ups on overdue payments
▪ Maintain accurate, auditable financial records and documentation
Client Support & Relationship Management
▪ Serve as the main point of contact for accommodation operators on MAT/Levy related enquiries
▪ Explain Return processes, payment deadlines, and compliance requirements in clear terms
▪ Build strong relationships through proactive communication and issue resolution
▪ Provide exceptional customer service in all interactions,
including during disputes or escalations
▪ Obtain a good understanding of the MAT/Levy rules and related internal protocols to explain property tax processes, changes, and deadlines
Compliance & Reporting
▪ Prepare regular internal reports on collection activity and outstanding accounts
▪ Support external audits and provide financial documentation as needed
▪ Stay informed on MAT/Levy regulations and ensure internal processes align with municipal requirements
Qualifications:
● Diploma or certificate in Accounting, Finance, Business Administration, or related field
● 2+ years’ experience in accounts receivable, billing, collections, or financial administration
● Familiarity with municipal tax structures or public finance practices is a solid asset
● Proficient in Microsoft Excel and accounting/CRM platforms (e.g., QuickBooks, Salesforce)
● Strong communication skills, both written and verbal
● Ability to handle sensitive financial conversations with professionalism and empathy
Health & Safety Responsibilities:
● Knowledge of Workplace Hazardous Materials Information System (WHMIS) guidelines
Skills and Competencies:
● Demonstrated experience in platform administration and supporting data analytics initiatives
● Strong organizational, communication, and interpersonal skills to manage workflows and collaborate across teams.
● Ability to explain technical concepts to non-technical users and collect feedback to enhance platform functionality.
● Excellent analytical and problem-solving skills to identify and resolve database issues.
● Strong time management, initiative, and the ability to work under pressure and meet deadlines.
● Proficiency in Microsoft Office Suite and Google Workspace, with the ability to work both independently and remotely.
Working Conditions:
● This is a full-time, hybrid position based at ORHMA’s office in Mississauga, Ontario.
