We are a fast paced Cardiology Clinic seeking a highly organized and detail oriented professional to join our team. The ideal candidate will demonstrate strong organizational skills and the ability to thrive in a dynamic, patient-centred environment. Comprehensive medication knowledge is essential for this role, supporting safe, efficient, and high-quality patient care.
This position requires excellent communication skills, the ability to multitask, and a commitment to delivering exceptional patient service while supporting the clinical team.
Reporting To: Office Manager
Duties and Responsibilities:
Patient Interaction & Front Desk Management
Greet patients, check them in, confirm demographics and insurance (e.g., OHIP), and ensure all required forms are completed. Manage waiting room flow, prioritize urgent arrivals, and maintain a calm, professional environment—even when the schedule is running behind.
Scheduling & Appointment Coordination
Booking and confirming appointments for consults and cardiac diagnostics (like stress tests, Holter monitors, echocardiograms). This includes triaging referrals based on urgency, coordinating with physicians’ schedules, and handling cancellations or last-minute changes efficiently.
Referral & Documentation Management
Referrals must be complete and medically appropriate. Reception staff review incoming referrals to ensure supporting documentation is included (ECGs, lab results, imaging reports). If something is missing, follow up with referring physicians’ offices. Accurate scanning,
uploading, and chart preparation in ACCURO EMR is critical.
Phone & Communication Hub
Manage high call volumes—patients calling about appointments, test prep instructions, or results, as well as physicians’ offices coordinating care. Calls often need to be triaged appropriately, with urgent clinical concerns flagged to the Clinic Manager or Physicians.
Test Preparation & Patient Instructions
Reception may provide patients with instructions for upcoming tests (e.g., fasting, medication adjustments before stress tests), ensuring patients arrive properly prepared to avoid delays or cancellations.
Administrative Support
Tasks include faxing reports, managing incoming/outgoing mail, filing, data entry, billing support, and maintaining supplies. In Ontario clinics, this often involves coordinating with hospital systems and ensuring reports are sent back to referring providers promptly.
Confidentiality & Compliance
Our office handle sensitive health information and must follow privacy regulations (like PHIPA in Ontario). Accuracy and discretion are essential in all communications and record-keeping.
Team Coordination
Reception works closely with all members of the team; the Physicians, Technicians,
and the Clinic Manager to keep clinic flow moving. Flag delays, accommodate urgent add-ons, and help balance patient volume throughout the day.
In a fast-paced cardiology setting, the key skills behind all of this are organization, multitasking, strong communication, and the ability to stay composed under pressure. Small errors can have clinical consequences, so attention to detail matters just as much as speed.
Qualifications& Knowledge:
- Professional and articulate, with excellent written & verbal communication skills, and a good command of the English language.
- Ability to work collaboratively and professionally in a team-based environment
- The ability to maintain confidentiality towards the handling of personal health information
- College education in health sciences preferred
- Previous Medical Administrative experience an asset
- Positive attitude
- Must be proficient in MS office and be computer literate
- Strong organizational and interpersonal skills
- Ability to work varying shifts if necessary
- Experience using ACCURO EMR is an asset

Full-time hours: 37.5 hours per week (There is a possibility of working the occasional Saturday)
Salary: $22.00 /hr
