Medical Office Assistant – ENT
Job Overview
We are seeking an experienced, organized, and motivated Medical Office Assistant (MOA) to join a new Ear, Nose and Throat (ENT) surgical practice.
This is a unique opportunity to work alongside a surgeon who is establishing a new practice. The successful candidate will play an important role in helping set up and organize the office, establish efficient workflows, and ensure the practice runs smoothly from the start.
We are looking for someone who is confident working independently, takes initiative, and is comfortable managing multiple priorities in a busy surgical practice. Robust organization, attention to detail, professionalism, and excellent communication skills are essential.
Proficiency and previous working experience with Epic/Connect Care is required for this position.
Responsibilities
- Manage patient appointment scheduling through Epic/Connect Care while maintaining efficient clinic flow.
- Answer incoming phone calls professionally, respond to patient inquiries, and take detailed messages when required.
- Manage incoming referrals, including processing, tracking, and communicating with referring physicians' offices.
- Coordinate surgical bookings for patients at multiple hospitals, including required documentation and communication with patients and hospital booking departments.
- Maintain accurate and organized electronic patient records while ensuring compliance with privacy regulations and practice policies.
- Coordinate communication between patients, the surgeon, hospitals, clinical staff, and referring physicians.
- Assist with establishing and maintaining office procedures and administrative workflows for the new practice.
- Help develop systems for referral management, surgical bookings, patient follow-up, correspondence, and other day-to-day office operations.
- Prepare and manage medical correspondence, forms, reports, and other documentation as required.
- Perform general administrative duties necessary to support the efficient operation of the practice.
Required Qualifications & Skills
- Proficiency with Epic/Connect Care is mandatory. Applicants must have previous hands-on experience working within the Epic/Connect Care system.
- Previous experience working as a Medical Office Assistant is required.
- Strong knowledge of medical terminology.
- Strong organizational and time-management skills with the ability to prioritize in a fast-paced environment.
- Ability to work independently, take initiative, problem-solve, and manage competing priorities.
- Excellent written and verbal communication skills.
- Professional and compassionate when communicating with patients, families, physicians, and other healthcare professionals.
- Strong computer skills and familiarity with standard medical office equipment and systems.
Additional Assets
- Previous experience in an ENT, surgical, or specialist medical practice.
- Experience coordinating surgical bookings at multiple hospitals.
- Experience managing specialist referrals and waitlists.
- Experience helping establish or organize a new medical practice.

Because this is a new practice, we are looking for someone who is comfortable helping build processes from the ground up. You will have the opportunity to work closely with the surgeon to establish administrative systems and workflows that support an efficient practice and provide patients with a positive experience.
