Role Description The Office Administrator is a full-time, on-site role based in Aldershot (Burlington). This role is responsible for managing daily front-desk operations, including greeting patients, answering phone calls, responding to emails, and scheduling appointments.
The Office
Administrator maintains patient records, handles intake and check-out procedures, and supports billing and payment processing in coordination with dental insurance and clinic policies. Additional responsibilities include organizing files, managing office supplies, coordinating maintenance of office equipment, and supporting communication between patients and clinical staff. The role requires consistent attention to detail, professional interaction with patients, and effective coordination of administrative tasks to ensure smooth clinic operations.
Qualifications
- Strong office administration and administrative assistance skills to manage scheduling, records, and day-to-day operations.
- Experience working with office equipment (e.g., phones, printers, scanners, computers) and basic software such as email, scheduling, and word-processing tools.
- Clear and professional communication skills, including confident phone etiquette and the ability to convey information accurately to patients and team members.
- Customer service skills focused on creating a welcoming workplace, managing patient inquiries, and handling concerns with patience and professionalism.
- Attention to detail, strong organizational skills, and the ability to prioritize multiple tasks in a busy clinical setting.
- Comfort working in a healthcare or dental environment; prior experience in a dental or medical office is an asset.
- Ability to maintain confidentiality and handle sensitive patient information in line with privacy regulations.
- Strong work ethic and self-motivated with the ability to work well independently
- High school diploma or equivalent required; additional training or education in office administration or healthcare administration is an advantage.
- Must be able to work evenings and weekends
Pay Scale $20-$25 to start based on experience

Tuesday 9-9
Wednesday 12-9
Thursday 9-9
Friday 9-5
1-2 Saturdays a month depending on patient need usually 9-3
