We're looking for a highly organized Operations Coordinator (Finance & Administration) to join our growing Montreal team. If you have a bookkeeping background and enjoy supporting finance, operations, and administration in a fast-paced environment, we'd love to meet you.

Key Responsibilities

Finance & Bookkeeping

- Manage Accounts Payable and Accounts Receivable.
- Prepare and issue client invoices through QuickBooks Online.
- Process vendor invoices and prepare bi-weekly payment runs using Plooto.
- Maintain accurate financial records within QuickBooks Online.
- Process and organize receipts, invoices, and expenses using Dext.
- Reconcile corporate credit cards and bank transactions.
- Maintain vendor records, banking information, tax documentation, and supporting files.
- Liaise with our external bookkeeping and accounting partners to support monthly reconciliations, financial reporting, and year-end requirements.
- Prepare and organize supporting documentation required for monthly reconciliations, financial reporting, and year-end processes.
- Ensure all financial transactions are accurately recorded, coded, and maintained in preparation for review by our external bookkeeping team.
- Assist with budget tracking, financial reporting, and special projects as required.

Operations & Administration





- Coordinate the day-to-day operations of the office to ensure everything runs efficiently.
- Manage office supplies, equipment, and vendor relationships.
- Maintain inventory of client products, office supplies, PR materials, and promotional items.
- Coordinate incoming and outgoing shipments, couriers, and deliveries.
- Arrange travel, accommodations, transportation, and itineraries for team members when required.
- Prepare meeting agendas and assist with internal meeting coordination.
- Coordinate employee onboarding and offboarding administration.
- Assist with employee benefits administration and HR paperwork.
- Support internal events, team meetings, and company initiatives.
- Identify opportunities to improve operational processes and administrative efficiencies.
- Provide administrative support to the leadership team as required.
- Support other operational and administrative functions as needed.

Qualifications

- 1–3 years of bookkeeping, accounting, finance, operations, or office administration experience.
- Experience using QuickBooks Online, Dext Prepare, and Plooto.
- Experience managing Accounts Payable and Accounts Receivable.
- Experience reconciling bank accounts and corporate credit cards.
- Strong Microsoft Excel and Microsoft Office skills.
- Exceptional organizational skills with strong attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Demonstrated professionalism, integrity, and discretion when handling confidential financial and employee information.
- Strong problem-solving skills with the ability to identify process improvements and work proactively.
- Fully bilingual (English & French), both written and spoken.
- Diploma or certificate in Accounting, Bookkeeping, Business Administration, or a related field is considered an asset.
