Overview
Reporting directly to the Finance Manager, the Payroll & Accounting Administrator is responsible for supporting the accurate and timely processing of payroll and providing administrative support across key finance functions. This role assists with accounts payable, banking, reporting, and compliance activities while ensuring accuracy, confidentiality, and adherence to organizational policies and legislative requirements.
The Payroll & Accounting Administrator works under the direction of the Finance Manager, who retains final review and approval authority for financial transactions and reporting.
Duties & Responsibilities:
Payroll Administration
- Process full-cycle payroll from start to finish, including timesheet validation, data entry, payroll calculations, and final submission
- Ensure payroll is processed accurately and on schedule in compliance with applicable regulations
- Maintain accurate and up-to-date payroll records
- Track employee vacation and sick time balances in collaboration with the Finance Manager
- Prepare and submit Records of Employment (ROEs) as required
- Respond to payroll-related inquiries from staff
Accounts Payable (AP)
- Enter and code invoices accurately in the financial system
- Match invoices to appropriate approvals and supporting documentation
- Maintain and update vendor files
- Follow up on discrepancies, missing documentation, or variances
- Prepare documentation for Finance Manager review and approval prior to processing
Banking & Cash Management
- Prepare and reconcile bank deposits
- Perform monthly bank reconciliations
- Track and monitor cash balances
- Assist with organizational cash flow monitoring and reporting
Financial Reporting Support
- Assist in the preparation of monthly financial reports
- Support budget versus actual tracking
- Prepare and maintain internal financial tracking spreadsheets
- Support reporting requirements for board and funders
Compliance & Filings
- Assist with CRA remittances, including HST and source deductions
- Provide support for WSIB reporting requirements
- Maintain accurate audit documentation and financial records
- Support year-end processes, including T4 preparation and working papers
Administrative & Coordination Support
- Maintain finance correspondence and documentation
- Organize and maintain finance filing systems
- Assist with audit preparation and coordination
Systems & Process Improvement
- Ensure accuracy and integrity of financial and payroll data
- Identify opportunities for process improvements and increased efficiency
- Support implementation of improved financial and payroll processes
Qualifications:
- Diploma or degree in Accounting, Finance, Payroll Administration, or related field
- Payroll Compliance Practitioner (PCP) designation is considered an asset
- Minimum 3-5 years of experience in payroll and/or finance support roles
- Working knowledge of payroll legislation, employment standards, and CRA requirements
- Experience with payroll and accounting systems (e.g., ADP, GoEasy) preferred
- Strong proficiency in Microsoft Excel and financial tracking tools

Pay: $65,000.00-$70,000.00 per year
