The Newfoundland and Labrador Construction Safety Association (NLCSA) is a non-profit organization dedicated to promoting health and safety excellence throughout Newfoundland and Labrador's construction industry. Through education, training, resources, and industry engagement, we support safer workplaces and help foster a strong safety culture across the province.

Position Summary

NLCSA is seeking a professional, organized, and customer-focused Recptionist to join our team in Mount Pearl. Reporting to the Team Lead, Adminstration and IT Services, the Receptionist serves as the first point of contact for members, clients, and visitors while providing a wide range of administrative support services related to training programs, office operations, customer service, and data management.

The successful candidate will thrive in a fast-paced environment, enjoy interacting with people, and possess exceptional organizational and multitasking abilities.

Key Responsibilities

Customer Service & Reception

· Greet visitors and clients in a professional and welcoming manner.

· Answer and direct incoming phone calls and respond to general inquiries.

· Provide information regarding NLCSA programs, services, and training offerings.

· Receive, sort, and distribute mail and courier deliveries.

· Process payments and issue receipts for training and other services

Training Administration

· Register participants for classroom and e-learning courses.

· Maintain accurate training records and participant information.

· Process course enrollments, cancellations, confirmations, and waitlists.

· Prepare course materials, training cards, participant forms, and course summaries.

· Create and distribute links for virtual training sessions.

· Assist with student check-in and training-related administrative activities as required.

· Communicate training schedules and support instructor administrative needs.

Administrative Support

· Perform data entry and maintain accurate databases and records.





· Process settlements and assist with invoicing activities.

· Prepare audit documentation for instructors and clients.

· Coordinate inventory management for training materials, textbooks, office supplies, and kitchen supplies.

· Arrange shipment of training materials and supplies to branch locations and clients.

· Assist with correspondence, reports, and general clerical duties.

· Support other departments with administrative tasks as assigned.

Qualifications

Required

· Office Administration diploma, certification, or equivalent combination of education and experience.

· Minimum one year of experience in administration.

· Strong computer skills, including proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint) and Sage 50 accounting software.

· Excellent verbal and written communication skills.

· Exceptional customer service and interpersonal skills.

· Strong organizational skills with keen attention to detail.

· Ability to manage multiple priorities in a busy office environment.

· Ability to work independently with minimal supervision.

Preferred

· Experience with training administration.

· Experience processing payments, maintaining records, and working with databases.
