WE'RE HIRING: Rentals & Events Coordinator!

Organization: West Hillhurst Community Association (WHCA)

Location: Calgary, AB

Position Type: Full-Time - 40 hours per week

Monday through Friday (11am-7pm) (w/ occasional weekends as per events)

Start Date: Late summer - Fall 2026

Who We Are:

The West Hillhurst Community Association (WHCA) is a dynamic, multi-use recreation and community facility serving residents across northwest Calgary. We are looking for an energetic, organized, and community-focused Rentals & Events Coordinator to serve as a key administrative leader, managing facility rentals and delivering exceptional event experiences for our community hub.

What You’ll Do:

As the Rentals & Events Coordinator, you will oversee all facility rentals, community events, marketing and digital engagement. You will act as the primary liaison between rental clients, event organizers, internal department heads, and facility operations to maximize facility usage, deliver top-tier customer service, and strengthen WHCA’s reputation.

- Facility & Rental Management: Manage rentals for gymnasiums, meeting rooms, arena and other studio spaces. Respond to inquiries, issue rental agreements, collect payments, and ensure insurance and permit compliance.
- Event Coordination & Logistics: Plan and execute WHCA-hosted community events (celebrations, tournaments, workshops). Assist renters with layouts, staffing, equipment, marketing and onsite support.
- Marketing: Serve as the primary point of contact for renters and user groups. Create, schedule, and manage engaging digital content across community platforms to promote events, programs, and initiatives.
- Administration & Operations: Prepare contracts and permits, track revenues/deposits, support budget planning,



and communicate daily event schedules and setup needs to operations staff.
- Community Program Coordination: Plan, schedule, and manage operations for some community programs - including but not limited to; recreational soccer, youth safety workshops, and tot dance.
- Education: Post-secondary education in Event Management, Recreation, Business / Marketing Administration, or a related field (preferred).
- Certifications: First Aid & CPR-C (required or willing to obtain); WHMIS and OH&S; training (asset).
- Experience: 2+ years experience in event coordination, facility rentals or recreation administration.
- Technical Skills: Familiarity with facility scheduling software (e.g. ActiveNet).
- Core Competencies: Exceptional communication and customer service skills, strong organizational/multitasking abilities, detail orientation, and a collaborative, community-first approach.
