Royal Botanical Gardens (RBG) is seeking a highly organized and customer-focused School Program Booker to coordinate registrations and bookings for our K-12 school programs and education-focused group visits. This role is ideal for someone who enjoys building relationships, managing logistics, and creating exceptional experiences for educators and visitors.

About the Role The School Program Booker is responsible for coordinating bookings and registrations for school programs and other education-focused groups, ensuring all scheduling, financial, and operational details are managed accurately and efficiently. As the primary point of contact for teachers and group organizers, this role provides exceptional customer service and supports the successful delivery of RBG’s educational programming.

This is a full time seasonal contract opportunity with an anticipated start date as soon as possible and an end date of June 18, 2027.

Key Responsibilities

- Coordinate inquiries, registrations, scheduling, and booking logistics for K-12 school programs and education-focused groups using internal registration systems and databases.
- Serve as the primary point of contact for educators and group organizers throughout the registration, invoicing, and payment process.
- Provide exceptional customer service while responding to inquiries and resolving concerns in a professional and timely manner.
- Attend departmental and cross-functional scheduling meetings to ensure bookings align with operational requirements and visitor needs.
- Prepare and issue invoices, process payments, and maintain accurate financial records to support reconciliation and reporting.
- Maintain accurate records of bookings, participant information, program schedules, and staff availability.




- Track program attendance and compile reports to support program evaluation, strategic planning, and decision-making.
- Meet and greet visiting groups and provide logistical support to ensure a positive visitor experience.
- Coordinate program spaces, resources, and staff assignments to support smooth and efficient program delivery.
- Collaborate with internal teams to ensure all operational, scheduling, and customer service requirements are met.

Required Knowledge and Experience

- Familiarity with the Ontario school curriculum and informal learning environments through education, training, work, or volunteer experience.
- Experience coordinating schedules, assigning resources, and managing multiple bookings simultaneously.
- Knowledge of customer service best practices, visitor engagement, and conflict resolution.
- Experience processing payments and working with basic accounting or invoicing procedures.
- Understanding of safety considerations and protocols related to school groups and public visitors.
- Experience with administrative processes and booking systems related to educational programs, events, or group visits.

Required Skills

- Excellent verbal and written communication skills.
- Strong organizational and time management abilities with exceptional attention to detail.
- Ability to build positive relationships with educators, visitors, volunteers, and internal stakeholders.
- Strong problem-solving and critical thinking skills,



with the ability to manage competing priorities and resolve scheduling conflicts.
- Proficiency with Microsoft Office Suite, registration and ticketing platforms, scheduling systems, and digital communication tools.
- Ability to work independently while collaborating effectively within a team environment.
- Strong customer service orientation and commitment to delivering positive visitor experiences.
