Key Responsibilities

Tenant & Lease Administration

- Serve as a primary point of contact for tenants on account, billing, and lease‑interpretation matters
- Support enforcement of lease obligations and follow up on accounts receivable to ensure timely recovery
- Prepare and review rent notices for accuracy and lease compliance
- Maintain and distribute tenant manuals, building rules, and related communications

Operations & Building Management

- Participate in property inspections and coordinate resulting action items
- Coordinate leasehold improvements, capital projects, and tenant move‑in/move‑out logistics
- Produce work orders in line with approved budgets and support service contract administration
- Support tender and contract preparation for building services




- Respond to property emergencies and participate in an on‑call rotation
- Supervise and mentor a Property Administrator, providing coverage and support as needed
- Coordinate tenant programs such as sustainability initiatives, wellness, and emergency preparedness
- Plan and execute tenant appreciation events
- Step in for the Property Manager on select matters as required
- Support preparation of annual operating and capital budgets for an assigned portfolio
- Compile monthly and quarterly owner reporting packages, including variance analysis, executive summaries, and accounts receivable status
- Oversee coding and accuracy of supplier and contractor invoices
- Support year‑end budget and tenant reconciliations, including recovery invoicing

Qualifications

- 3+ years of progressive commercial property management experience, ideally with a third‑party or institutional manager
- Bachelor's degree preferred
- RECA property management license, or eligibility to obtain one
- Working knowledge of accounting and finance principles; experience with Yardi or similar property management software is an asset
- Excellent verbal and written communication
- Self‑directed, organized, and analytically minded, with a genuine desire to learn and grow
- Comfortable working autonomously while collaborating closely with a Property Manager and broader team
- Consistently meets or exceeds deadlines with a customer‑service orientation
- Willingness to participate in an on‑call rotation and travel occasionally to other properties
