Job Description This position is subject to the terms of Appendix D in the Full-Time Support Staff Collective Agreement. Note: This is for 1 Temporary Full-Time vacancy to go no later than May 2027 (with possibility of extension). This position is Hybrid with in-person work based in London, Ontario. This position is deemed a critical replacement vacancy. Payband: This position is paid at Payband G, $34.60 - $39.93 per hour Hours: Monday to Friday, 8:30 a.m. to 4:30 p.m.
Why this Role is Important The Payroll Representative plays a key role within the Total Rewards Department, which supports a broad range of programs and services including payroll, group benefits and pension administration, compensation and job evaluation, as well as HR reporting and administration. Within defined portfolios under the direction of the Senior Manager, Total Rewards and as part of a team, the Payroll Representative is responsible for processing payroll on a timely and accurate basis in accordance with legislation, collective agreements, policies and established practices and procedures. The Payroll Representative is the main point of contact for employees, departments and managers regarding payroll information and must be self directed in order to prioritize activities in a fast-paced environment with tight deadlines.
How You'll Make an Impact Administration of Payroll System Processes regular pay cycles (bi-weekly, bi-monthly) for salaried, and hourly employees
Receives and organizes all documents and tasks required to process payroll information
Reviews, analyzes and interprets all inputs to ensure the information is accurate and adheres to the collective agreements, college and governments policies, regulations and guidelines where applicable
Inputs transactions not captured in Workday prior to processing payroll within the designated cut-off deadlines




After the payroll has been calculated, the incumbent is responsible for verifying all changes and/or input that was processed and associated calculations to ensure accuracy.
Payroll output is recalculated and verified again following any changes or corrections to ensure for accuracy
Enter, adjust payroll deductions as required to ensure accuracy
Accurately calculate, process, and validate payroll adjustments and inputs related to employee deductions (such as pension and group benefits) and earnings (including reduced workload and leave adjustments) to ensure accuracy
Calculate and reconcile various payroll payments, including top-up amounts, retroactive pay, vacation payouts, recovery of overpayments, and court-ordered garnishments, ensuring all transactions are correct and compliant.
Process, calculate, transmit, and reconcile all payroll transactions with the College’s banking institution
Prepare, reconcile and adjust T4’s
Create Journal Entries and Year-To-Date payroll adjustments to record special payments
Produce Records of Employment (ROEs) as required by legislation, responding to Service Canada inquires for further information
Review payroll reports to verify data integrity to ensure high-level accuracy of payroll data entry and take any corrective action as needed
Customer Service Responds verbally and in writing to employee inquiries in a timely manner, requests from departments, and external agencies in a professional and timely manner
Provides clarification of payroll administrative practices, researches and resolves issues as required
Provides written letters to employees to verify employment, income as requested
Deliver quality departmental customer services by providing timely, professional and accurate information to staff as well as other internal and external stakeholders regarding payroll related matters
Guides, advises and provides direction to customers on payroll administrative practices (including recommended use of documents, forms and systems), researches and resolves issues as required
Performs other related duties as assigned
What You'll Bring Two (2) year post-secondary diploma in Business, Finance, Human Resources or related field required with specialization in payroll/compensation preferred
Payroll Compliance Professional (PCP) certification with the National Payroll Institute
Minimum three (3) years recent and practical experience processing full cycle payroll (hourly and salaried) in a large organization with multiple collective agreements
An equivalent combination of education and experience may be considered
Demonstrated experience with compliance and statutory requirements
Experience resolving discrepancies professionally and confidentially
Advanced level of competency/proficiency in MS office including Outlook,



Word, Excel and PowerPoint
Advanced knowledge of cloud-based HR/payroll systems (i.e. Workday)
Demonstrated experience working in a team environment
Excellent communication and analytical skills
Understanding of confidentiality and compliance
