Funding Validation Officer - Automotive Finance
The Validation Officer contributes to the overall success of the Dealer Centre of Excellence in Canada by ensuring that individual goals, plans, and initiatives are achieved in support of the team’s business strategies and objectives. All activities are carried out in compliance with governing regulations, internal policies, and procedures.
The officer is responsible for completing verification and validation of information contained in approved indirect loan/lease agreements and related supporting documents prior to the release of funds to automotive dealerships.
Responsibilities
- Perform all verification activities related to approved indirect loans and leases received for funding.
- Complete the Contract Message Screen, making necessary changes and accepting details as per the documents provided.
- Verify loan and lease documentation against the Contract Message to ensure all documents are included in the funding package from the dealer (application, Bill of Sale, pay stubs, proof of income, insurance documents, etc.).
- Attach documents on the Validation Screen to each tab as required and add additional documents if necessary (e.g., proof of residency, alternate payor form, proof of downpayment).
- Ensure any required lending documents are sent to Lending for review prior to validating and funding the deal as per stipulations.
- Verify vehicle insurance coverage and residency as required by the Indirect Retail Lending Policy Bulletin.
- Verify the validity and accuracy of the Retail Credit Agreement or Retail Lease Agreement, including collateral description matching the Bill of Sale.
- Ensure lease documents meet bank guidelines and meet contractual obligations to the residual value insurer.
- Verify the validity and accuracy of all financial components that affect lease amortization on the bank’s books at the end of the term.
- Request documentation from dealerships to obtain guarantees covering higher residual values when necessary.
- Ensure all lease-end values are within bank and/or residual value insurer guidelines.
- Verify insurance documentation as per policy.
- Escalate variances outside bank and/or residual value insurer guidelines to the dealer, funding manager, or retail lending for rectification and/or approval before funding.
- Resolve identified discrepancies by identifying issues and taking corrective actions when documents are non‑compliant.
- Communicate with the dealer to correct documentation by returning a deficiency or dealer message.
- Adhere to Contract Variance Policy Guide.
- Champion a customer‑focused culture by responding professionally to dealership inquiries and maintaining service level agreements.
- Escalate serious situations to the supervisor for speedy resolution.
- Maintain positive relationships with lending, accounting, and other DFC staff to resolve issues before loss of business.
- Pursue effective operations while ensuring day‑to‑day controls meet operational risk, regulatory compliance, AML/ATF, and conduct risk requirements.
- Ensure customer profiles fit the submitted documents and credit bureau information.
- Review down‑payment amount and source; recommend completion of UTR form if outside AML guidelines.
- Justify buyers outside their province of residency or contact the lending team for justification.
- Apply the bank’s risk appetite and culture in daily activities and decisions.
- Champion a high‑performance environment and implement a people strategy that attracts, retains, develops, and motivates the team, fostering inclusivity.
Qualifications
- College or University degree preferred or minimum of 2 years related experience in a position of similar responsibility.
- Banking/financial/leasing experience highly desirable; strong knowledge of discipline-specific documentation rules and guidelines.
- Strong computer skills (Excel, Windows, Word, Outlook, and automated GL systems).
- Knowledge of automated systems and software packages relevant to the business (ALS COM, Outlook, Microsoft Office).
- Knowledge of legislative, governance, or regulatory rules, AML/ATF/KYC guidelines.
- Working knowledge of Scotiabank’s Retail Lending policies, procedures, pricing, and authorities.

Working Conditions
- Standard office‑based workplace; non‑standard operating hours Monday‑Saturday. Month‑end driven with seasonality, overtime required during peak periods.
- Hours of operation: 7:30 am – 8:00 pm Monday‑Friday; 7:30 am – 5:00 pm Saturday.
In addition to French, the successful candidate must also have sufficient knowledge of English, as the work involves interacting and collaborating regularly with groups and individuals based in Toronto, as well as constantly interacting with clients who speak English locally and elsewhere.
