Location: On-site (Halifax, Nova Scotia)

MTLI Group is seeking a highly organized, detail-oriented, and proactive Project Coordinator / Administrative Assistant to support our Project Management team on an active construction project. This is a fast-paced, on-site position that combines project coordination, administrative support, inventory management, and document control.

The successful candidate will play a critical role in ensuring projects remain organized, documentation is accurate, schedules are maintained, and project managers have the support they need to execute work efficiently.

This role is ideal for someone who enjoys working in a dynamic environment, takes initiative, and has strong organizational and communication skills.

Key Responsibilities:

- Provide administrative and project coordination support to Project Managers throughout the project lifecycle.
- Prepare, update, and distribute project reports, status updates, meeting minutes, and executive summaries.
- Develop, maintain, and update project schedules and Gantt charts to monitor project progress and key milestones.
- Assist with project planning, scheduling, resource coordination, and deadline management.
- Track employee hours, attendance, labour allocations, and daily productivity reports.
- Monitor project deliverables and proactively follow up on outstanding action items.
- Coordinate project logistics, including deliveries, material procurement, and subcontractor scheduling.
- Track inventory, materials, tools, and equipment while maintaining accurate inventory records.
- Maintain project documentation, ensuring all files, permits, certifications, safety records,



and closeout documents are complete and organized.
- Prepare spreadsheets, dashboards, and project metrics using Microsoft Excel.
- Coordinate communication between clients, project managers, suppliers, subcontractors, and field personnel.
- Assist with onboarding employees and tracking required certifications (WHMIS, Working at Heights, Forklift, MEWP, etc.).
- Identify potential scheduling conflicts or project risks and escalate them to the Project Manager.
- Support continuous improvement by developing efficient administrative and reporting processes.

Qualifications:

- 2+ years of experience in Project Coordination, Project Administration, Construction Administration, or a similar role.
- Previous experience supporting construction, industrial, engineering, or manufacturing projects is considered an asset.
- Strong knowledge of project coordination principles and project lifecycle management.
- Experience preparing professional reports, project documentation, and executive summaries.
- Experience creating and maintaining Gantt charts and project schedules.
- Strong organizational and multitasking skills with the ability to manage competing priorities.
- Excellent verbal and written communication skills.




- High attention to detail and strong problem-solving abilities.

Technical Skills:

- Advanced Microsoft Excel
- Microsoft Word, Outlook, Teams
- Experience with Microsoft Project, Smartsheet, Primavera P6, Monday.com, Asana, or similar scheduling software
- Ability to create and manage Gantt charts
- Experience with inventory management and material tracking
- Strong reporting, documentation, and data analysis skills

Pay: $18.00-$20.00 per hour
