Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service.

Responsibilities

Customer Service & Front Desk

- Welcome and warmly greet all guests upon arrival, ensuring a positive first impression and directing them to the appropriate department.
- Provide a welcoming guest experience by offering beverages and keeping the beverage station sanitized, organized, and presentable throughout the day.
- Provide coverage during all retail business hours, including evenings and weekends, as needed.

Incoming Calls & Communication:

- Answer all incoming calls promptly and professionally, within 2–3 rings, with a friendly and courteous demeanor.
- Direct calls to the appropriate department and ensure messages are accurately documented and delivered promptly.
- Maintain clear, professional, and friendly communication with both customers and staff at all times, ensuring callers are not left on hold for extended periods.

Sales & Service Support Responsibilities

- Manage sales calls, walk-ins, and appointments by greeting guests, assessing needs, routing to the appropriate contact, and ensuring a seamless showroom experience.
- Create, verify, and assign guest profiles and leads in CRM systems, while supporting sales consultations, test drives, and vehicle deliveries through effective communication
- Manage after-hours service pickups, tow-ins, and drop-offs by verifying customers, handling keys and documentation, coordinating payments, and notifying service staff to ensure accurate handoff and recordkeeping.

Other Responsibilities





- Manage and issue gift cards for managers and customers, ensuring proper activation, documentation, and record-keeping while maintaining accurate transaction tracking.
- Receiving and directing packages to the appropriate parties, and opening mail addressed to the company, while maintaining confidentiality.
- Mailing ownerships, cheques or documents, as requested by Managers.
- Coordinate vehicle receiving, dealer trades, and third-party pickups by verifying documentation, matching keys and VINs, and directing drivers appropriately.
- Act as the primary point of contact between drivers, logistics teams, and sales management to ensure timely and accurate vehicle handoffs.
- Monitors and maintains reception, beverage station, and office supplies by placing orders with appropriate departments or vendors when stocks are low.

Requirements

- Proven clerical or administrative experience, preferably in a medical or dental office setting
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry
- Experience with multi-line phone systems and excellent phone etiquette
- Exceptional organizational skills with keen attention to detail and accuracy in proofreading and typing
- Ability to handle front desk responsibilities efficiently while maintaining professionalism under pressure
- Excellent customer service skills with a friendly demeanor
- Ability to work independently as well as part of a team in a busy setting

Availability Needed:

- Tuesday: 5pm-9pm
- Wednesday: 5pm-9pm
- Sunday: 9am-4pm

Job Type: Part-time

Pay: $17.60-$20.00 per hour

Education:

- Secondary School (required)

Experience:

- Retail Automotive Receptionist: 1 year (required)
