We are a well-established, growing dental practice seeking an experienced Office Manager to help take our clinic to the next level. This is a leadership role for someone who enjoys ownership, accountability, and actively building a practice — not just maintaining one.

The Opportunity
This is our first dedicated Office Manager role, and it is a key hire. You will work closely with the practice owner to:
- Reduce day-to-day operational stress
- Improve systems, scheduling, and team accountability
- Actively build and grow the practice
You will have meaningful influence over how the office runs and evolves.

Key Responsibilities
Practice Growth & Development
- Lead practice growth initiatives, including:
- Coordinating monthly in-house specialist days (oral surgery, endodontics, paediatric dentistry)
- Managing referrals, schedules, case flow, and communication related to visiting specialists
- Identifying opportunities to increase production in a patient-centred, non-corporate way
- Build and optimize the hygiene program
- Support the clinic’s transition toward more digital systems and workflows
Scheduling & Operations
- Maintain consistently full dentist and hygiene schedules
- Optimize chair utilization and reduce gaps
- Manage recalls, short-call lists, and schedule efficiency
- Support extended hours or future evening/weekend expansion if demand supports it
Team Leadership & Accountability
- Lead front desk operations and oversee administrative staff
- Support hiring, onboarding, performance management, and conflict resolution
- Set transparent expectations and follow through when issues arise
- Create systems so problems are solved proactively, not reactively
Front Desk & Administrative Oversight
- Treatment plan presentation and financial coordination
- Insurance follow-ups and billing oversight
- IPAC knowledge and compliance (hands-on involvement is an asset)
- Maintain a calm, organized, and professional front-of-house environment

Who We’re Looking For
- 5+ years in dental administration; management experience strongly preferred
- Confident communicator with patients, staff, and specialists
- Organized, decisive, and comfortable holding people accountable
- Motivated by growth, improvement, and ownership
- Digital dentistry experience is an asset (not a requirement)
