Position Overview
The Property Management Coordinator is responsible for supporting the day-to-day operations of the property portfolio, ensuring properties are well-maintained, compliant, and tenant needs are met. This role coordinates maintenance activities, manages contractors, supports leasing functions, and handles property-related administrative duties to ensure the smooth and efficient running of the properties.
Key Responsibilities
1. Property Operations & Maintenance
· Coordinate and follow up on minor repair and maintenance works.
· Record and monitor utility meter readings regularly.
· Schedule and oversee preventative maintenance programs (e.g., annual servicing of generators, electrical systems, fire equipment, etc.).
· Respond promptly to emergency repair issues and coordinate resolution.
2. Tenant Relations
· Serve as the primary contact for tenants on property-related matters.
· Address and resolve tenant complaints professionally and in a timely manner.
· Maintain positive and proactive communication with all tenants.
3. Contractor & Vendor Management
· Manage third-party service providers including security, waste disposal, and cleaning services,etc.
· Monitor contractor performance and ensure compliance with service level agreements.
4. Leasing & Lease Administration
· Assist in searching for new tenants and managing tenant inquiries.
· Coordinate lease renewals, rent reviews, and lease negotiations.
· Facilitate tenant move-in and move-out processes.
· Prepare easy lease agreements and maintain lease records.
· Liaise with leasing agents and track leasing progress and documentation.
· Support timely rent collection and resolve any billing or payment issues.
5. Compliance & Reporting
· Prepare and submit annual energy usage and sustainability reports.
· Handle the renewal and application of property-related permits and licenses.
· Ensure properties comply with local laws, codes, and regulations.
Qualifications and Skills
· Diploma or degree in Property Management, Real Estate, Business Administration, Engineering, or a related field.
· 3+ years of experience in property or facilities management preferred.
· Strong organizational, communication, and interpersonal skills.
· Ability to manage multiple tasks
· Familiarity with property management systems and Microsoft Office Suite.
· Knowledge of local property regulations and compliance requirements is an asset.
· Mandarin speaking skill
Job Type: Full-time
Pay: $55,000.00-$60,000.00 per year
