We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this new role, you will work with our Executive Director to build and maintain systems that can efficiently provide essential support to ensure our office runs smoothly. Your proactive approach, excellent communication skills, and attention to detail will help foster a productive work workplace. Responsibilities
- Oversee administration of our parent-pay program in five schools;
- Support financial administration, including receiving and ensuring payment of invoices and other bills (in partnership with organization’s bookkeeper);
- Support the design of volunteer engagement and management systems for the organization, in collaboration with Executive Director and program staff;
- Support coordination of special events;
- Support Executive Director with annual organizational administrative tasks, as directed;
- Administrate volunteer recruitment and contact management systems;
- Support communications design and distribution (e-newsletters, email, social media).
Skills and Experience
We are looking for an energetic self-starter who relishes working in complex, evolving organizations as part of a dynamic, compassionate team. You will need to be able to think on your feet,
solve problems on the fly, and think strategically about designing, implementing and iterating systems to make your work life run efficiently and effectively. This job is ideal for someone who likes to have diversity in their work, new challenges regularly, and is able to work as part of a communicative, positive team.
Useful background experiences and skills may include:
- Past office administration – especially in not-for-profit sector;
- Experience with online sales and customer management databases;
- Sending and receiving invoices;
- Local food systems knowledge/interest;
- Volunteer coordination;
- Communications design;
- Computer savvy, including fluency with commonly used office software and apps.
You must be able to:
- Communicate effectively with a diverse team;
- Manage your time effectively and juggle multiple tasks on the go;
- Keep records organized;
- Compassionately lead other staff and volunteers in basic tasks;
