Duties
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office applications and Google Workspace tools to maintain up-to-date records
- Coordinate appointment scheduling, calendar management, and office correspondence to optimize operational efficiency
- Maintain filing systems, both physical and electronic, ensuring easy retrieval of documents and confidentiality of sensitive information
- Support bookkeeping activities using QuickBooks or similar accounting software for invoicing, expense tracking, and basic financial recordkeeping
- Provide exceptional customer support by addressing inquiries promptly and courteously via phone or email
- Assist with administrative tasks such as proofreading documents, preparing reports, and managing office supplies inventory
- Support medical or dental office operations by handling patient or client information with confidentiality and accuracy
- Ensure adherence to office policies, procedures, and best practices for organizational productivity
Qualifications
- Proven clerical or administrative experience in an office setting, including front desk duties and multi-line phone system management
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer skills with the ability to learn new software quickly; experience with QuickBooks is highly desirable
- Excellent organizational skills with keen attention to detail; capable of managing multiple priorities efficiently
- Demonstrated customer service skills with professional phone etiquette and effective communication abilities
- Experience in data entry, proofreading, filing systems, and general administrative support functions
- Prior medical or dental office experience is a plus; familiarity with medical/dental office procedures is advantageous
- Knowledge of bookkeeping practices including invoicing and basic financial recordkeeping using QuickBooks or similar software is preferred
