Operations Administrator & Bookkeeper

Part-Time to Start | Potential to Grow Toward Full-Time
Location: The Metro — Regina, Saskatchewan
Wage: $19–$22/hour to start, depending on experience
Work Arrangement: Primarily in-office, with some work-from-home flexibility

About The Metro

The Metro is a mixed-use building in downtown Regina with residential apartments, commercial spaces, self-storage, parking, and a shared office / incubator-style workspace. We are building a stronger, more systemized operation and are looking for someone who can help bring consistency, accuracy, and follow-through to the bookkeeping and administrative side of the business.

This role is important because the building has a lot of moving parts. We need someone who can keep financial records organized, help the office run smoothly, respond quickly when things come up, and support the transition as some administrative responsibilities shift over the next few months.

Position Summary

We are hiring a Bookkeeper & Operations Administrator to help with in-house bookkeeping for The Metro, bookkeeping for the incubator / shared workspace side of the business, and gradually take on more administrative duties over time.

This position will begin as a part-time role. Over the next three to four months, the hours may increase significantly and could eventually become close to full-time or full-time. That said, we want to be clear from the beginning: this role is starting part-time, and while we expect the need to grow, we cannot guarantee that it will become full-time immediately or permanently.

The right person will be comfortable working in a busy office environment where priorities can change quickly. This is not a role where someone will sit uninterrupted for eight hours a day. There will be bookkeeping work, but there will also be phone calls, emails, tenant questions, urgent issues, maintenance coordination, and other interruptions that need to be handled calmly and quickly.

Key Responsibilities: Bookkeeping

The bookkeeping side of this role may include:

- Recording income and expenses accurately
- Tracking rent payments, storage payments, parking payments, office payments, and other building-related revenue
- Entering bills, receipts, invoices, and payments
- Reconciling bank accounts, credit cards, and payment systems
- Helping organize accounts payable and accounts receivable
- Following up on missing payments or unclear transactions
- Keeping bookkeeping records organized and up to date
- Preparing information for the accountant, ownership, or management as needed
- Helping create better systems for tracking cash flow, expenses, and recurring obligations
- Supporting monthly reporting and financial summaries
- Helping separate and track activity for different parts of the business, including residential, storage, parking, commercial, and incubator / coworking operations
- Month end reconciliation

Administrative & Office Support

The administrative side may include:

- Answering phone calls and responding to emails
- Helping tenants, customers, contractors, and visitors
- Supporting leasing-related administration
- Assisting with move-ins, move-outs, forms, notices, and tenant communication
- Coordinating with maintenance and cleaning staff
- Helping schedule repairs, service calls, and inspections
- Tracking outstanding tasks and following up until they are completed
- Organizing digital and physical files
- Helping create and improve office systems, checklists, and procedures
- Supporting the owner and team with day-to-day operational needs

Communication & Responsiveness

A major part of this role is keeping the business moving. The right person needs to be responsive, flexible, and able to react quickly when something needs attention.

This may include:

- Monitoring email and phone communication during working hours
- Identifying urgent issues and escalating them quickly
- Communicating clearly with tenants, staff, contractors, and management
- Staying calm when several things are happening at once
- Following up without needing to be reminded repeatedly
- Helping make sure issues do not fall through the cracks

Ideal Candidate

The ideal person for this role is organized, accurate, flexible, and practical. We need someone who can do focused bookkeeping work, but who also understands that a building office has real-time interruptions and urgent needs.

You may be a good fit if you:

- Have bookkeeping experience
- Are a very detailed person
- Are comfortable working with accounting software
- Are accurate with numbers and details
- Can keep financial information confidential
- Are organized and able to create structure where things are messy
- Can handle interruptions without becoming overwhelmed
- Communicate clearly and professionally
- Respond quickly when something needs attention
- Are comfortable working independently
- Are also comfortable being part of a small, hands-on team
- Can prioritize tasks in a busy environment
- Are willing to learn the building, the systems, and the business over time

Desired Skills & Experience

- Previous bookkeeping or accounting administration experience
- Strong computer skills
- Comfort with email, spreadsheets, documents, and basic office systems
- Ability to reconcile accounts and keep records accurate
- Good written and verbal communication skills
- Strong attention to detail
- Ability to manage confidential information

- Ability to work from the office most of the time
- Flexibility as the role changes and grows

Preferred Skills

The following would be helpful, but are not necessarily required:

- Experience with rent rolls, tenant accounts, or lease administration
- Experience with QuickBooks
- Experience with Microsoft 365, Outlook, Teams, Excel, and Planner
- Experience working in a small business environment
- Comfort dealing with tenants, customers, contractors, and service providers

Hours & Schedule

This position will start part-time, with the expectation that hours may increase over the next three to four months.

The starting schedule will likely be approximately 10 hours per week, with the potential to grow as more responsibilities are added.

The role will be primarily based at The Metro office in Regina. Some work may be done from home when appropriate, especially for focused bookkeeping tasks, but the person in this role should expect to be in the office most of the time.

Compensation

Starting wage will likely be in the range of $19–$22/hour, depending on experience and fit.

There will be room to increase compensation for the right person as the role grows, the responsibilities increase, and the person proves they can take ownership of important parts of the business.

What Success Looks Like

Success in this role means:

- Bookkeeping is accurate, current, and organized
- Important financial information is easy to find
- Rent, invoices, payments, and expenses are tracked properly
- Emails and phone calls are handled promptly
- Urgent issues are noticed and escalated quickly
- Tenants, contractors, and staff receive clear communication
- The office runs more smoothly because this person is in the role

Why This Role Matters

This is not just a basic bookkeeping job. The Metro is a busy mixed-use property with a lot of moving pieces, and we are working hard to create a more stable, organized, cash-flow-positive operation.

The person in this role will help build the systems that allow the business to run better. That means accurate books, better follow-up, stronger communication, and fewer things falling through the cracks.

For the right person, this could become a very important long-term role inside the business.
