JOB SUMMARY

The Executive Assistant will be responsible for performing various administrative and operational support to the CEO in a confidential, timely and accurate manner. The ideal candidate will be able to work independently with little to no supervision, as well as collaboratively. This person must be very well organized and have the ability to interact with staff in a fast-paced environment. They should be flexible, proactive, resourceful and demonstrate a high level of professionalism. This role strongly contributes to the success of various areas of the companies while ensuring the companies run as effectively and efficiently as possible.

ORGANIZATION
Pacific First Aid is a provider of first aid training, safety courses, and is a trusted supplier of first aid products to non-profit and corporate clients in the Lower Mainland and Vancouver Island. We are a local start-up that has been operating in East Vancouver since 2009. Our goal is to equip people with practical skills to prepare them for any type of emergencies that they may encounter in their daily lives, and be a trusted partner for organizations in their first aid strategy. Pacific First Aid is proud to be a training partner with the Canadian Red Cross.

Pacific Fresh Produce Distributor is a provider of fresh Asian produce imported from various parts of the world. We have been wholesaling and distributing the freshest and highest quality specialty produce since 2007. As a family business, we put great thought into produce selection because we want our clients to receive only the best of the best.

WORK PERFORMED





· Provide full spectrum of professional secretarial and administrative support to the CEO

· Manage daily calendar, organizing and scheduling appointments and travels

· Apply for licences, write and implement policies and procedures, create forms and create streamline ways to implement new procedures

· Prepare and submit applications for licences and permits as required

· Develop, implement, and maintain company policies, procedures, forms, and process improvements to enhance operational efficiency

· Manage confidential information with discretion and maintain strict confidentiality

· Create and use any training or tracking logs required by government or auditing body

· Support the development and implementation of HR initiatives and systems

· Handle end-to-end recruitment cycle in a timely manner, such as identifying recruitment needs, preparing job descriptions, sourcing talent via appropriate channels, managing the hiring process

· Coordinate employee training and development programs, including orientation, performance review processes, and ongoing learning initiatives

· Maintain employee records according to policy and legal requirements

· Review employment and working conditions to ensure legal compliance

· Coordinate international shipments,



including liaising with suppliers, freight forwarders, customs brokers, and other logistics partners to ensure timely delivery

· Perform other administrative, operational, and special project duties as assigned by the CEO

QUALIFICATIONS

· High school diploma

· 1 year of administration related work experience

· Fluency in English

· Familiarity with Microsoft Office Suite including Word, PowerPoint, and Excel

· Strong interpersonal and communication skills

· High flexibility, mature, stable and responsible

· Experience in supporting a top management is an advantage

· Class 5 Drivers License is an asset

ADDITIONAL SKILLS, QUALIFICATIONS AND EXPERIENCE

· Administrative qualifications (related degree, diploma, certificate)

· Fluency in second language is an asset

· Teachable and ready to do on the job training

· Maturity in dealing with customers and collegues

· Must be fully familiar with Microsoft Office Suite including Word, PowerPoint, and Excel

Job Type: Full time

Pay: $22.00-$23.00 per hour
