Overview
The Accounts Payable Administrator is responsible for the efficient management of our accounts payable processes, including invoice processing, vendor communication, and maintaining accurate financial records. In addition, the role provides administrative support, including reception backup and assistance with other accounting functions such as Accounts Receivable. The following is a brief overview of the position; however, the employee is expected to assist other staff and perform other duties as required from time to time.
This is a part-time position requiring work three (3) days per week.
Key Responsibilities;
Accounts Payable Administration:
- Receive, review, and process invoices received via email or print, ensuring they are accurately coded for entry.
- Enter vendor accounts payable (A/P) entries into the accounting system.
- Ensure all packing slips are received in a timely manner, working with Inventory Controller and receivers to ensure effective communication
- Ensure that packing slips and purchase orders match.
- Review and resolve vendor inquiries, discrepancies, and reconcile vendor statements.
- Creating new vendor accounts in Spire
- Process ACH payment remittances to vendors via email.
- Assist in job costing with vendor invoices to track profit/loss.
- Enter vendor invoices against corresponding sales orders.
- Manage the scanning of documents between six company buildings, ensuring proper record-keeping and easy access to digital files.
Administrative Support:
- Provide backup support for the reception desk, assisting with calls, visitors, and general administrative tasks.
- Support the Accounts Receivable (AR) team as needed
- Prepare and submit monthly expense reports as needed, ensuring accuracy and compliance with company policies, as well as assist with deposit reconciliation.
Inventory Management and Compliance:
- Assist with inventory
- Oversee fire label management and ensure compliance
Qualifications & Requirements
- Diploma or post-secondary education in Accounting, Finance or Business Administration
- Minimum of 1 year experience in Accounts Payable or a similar accounting/administrative role.
- Experience with accounting software (Spire experience is considered an asset).
- Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
- Excellent attention to detail with a high level of accuracy in data entry.
- Ability to work part-time, three (3) days per week, with flexibility to provide additional coverage when required (e.g., reception or departmental support).
