Located at the head of Lake Ontario, spanning the vibrant municipalities of Burlington and Hamilton, Royal Botanical Gardens (RBG) is Canada’s largest botanical garden and one of the nation’s earliest and most cherished nature sanctuaries. We are looking for a dedicated and customer-focused Venue Representative to join our team for the event season. If you have a passion for event coordination, enjoy problem-solving in dynamic environments, and thrive in a role that requires exceptional attention to detail, this position is for you.

This is a seasonal, part-time position beginning as soon as possible and ending October 30, 2026. The role offers up to 25 hours per week, with shifts primarily scheduled during late afternoons and evenings, Thursday through Sunday.

What You’ll Do

- Act as the primary point of contact for clients during events, ensuring all needs are met efficiently for a seamless experience.
- Support and oversee various events, including weddings, corporate functions, social gatherings, and private events across RBG venues.
- Coordinate event setup, execution, and teardown, ensuring spaces are visually appealing and function seamlessly according to client specifications.
- Liaise with clients, vendors, and internal RBG teams to ensure all event requirements are fulfilled.
- Review pre-event documentation to confirm timelines, deliveries, and responsibilities are clearly understood.
- Address and resolve any on-site issues or concerns promptly and professionally.




- Prepare detailed post-event reports to document key outcomes and identify areas for improvement.
- Build and maintain positive relationships with clients and vendors to support repeat business and enhance RBG’s reputation in the event industry.

What You Bring

- Experience with event logistics, vendor coordination, and operational flow to ensure smooth event execution.
- Ability to liaise with multiple stakeholders, troubleshoot issues in real-time, and ensure seamless event management.
- Ability to manage multiple events simultaneously while ensuring smooth execution.
- Ensure event setup, execution, and guest experience meet high standards.
- Working knowledge of Word, Excel, Outlook, and Publisher for event documentation and communication.
- Ability to work efficiently under pressure while balancing multiple priorities.
- Ensure compliance with venue policies and safety standards during events.
- Capability to stand for extended periods, walk between event spaces, and lift up to 25 lbs when required.

- Work Conditions: This role involves working both indoors and outdoors in varying weather conditions.

- Physical Requirements: Standing for extended periods, walking between event spaces, and occasional lifting of event materials.
