Who you are
You enjoy providing both administrative assistance to a team and uncompromising service to clients. You are great at organizing and prioritizing workload, as well as ensuring client satisfaction by providing quick and efficient responses to their needs. Note that this is an in-office position 5 days per week. As a successful candidate for this career, you will have:
- 3+ years of working as an Administrative Assistant in an office
- 2+ years of financial services and/or banking experience
- Openness to obtaining a mutual funds registration (IFIC or CSC) in the future
- Post-Secondary education
- Desire to grow
- Excellent verbal and written communication skills
- Attention to detail in everything
- Advanced knowledge of technology, tools and software – including Microsoft Office Suite and CRM databases (we use Salesforce)
- Ability to work well independently but also be a robust results-oriented team player
- Ability to adapt to changes
What you will do
- Provide exceptional day to day support to clients and advisors, solving problems and communicating with clients as to where they are in the service process.
- Process investment transactions and follow-up on outstanding requirements with clients, advisors, dealer and external venders.
- Pre-client meeting preparation including gathering investment/insurance summaries and financial information for client meetings/reviews; create the client meeting agenda; prepare and distribute supporting information for scheduled meetings.
- Post-client meeting follow-up including reviewing meeting notes with the Advisor(s) as they pertain to investments and executing applicable actions; make sure tasks and notes are being updated and completed in a timely manner.
- Keep the CRM (Salesforce) up to date with meeting notes, phone conversations etc.
- Handle administration such as address and bank account changes, filing and scanning.
- Provide reception services such as greeting clients upon arrival, answering phones and e-mails, sending faxes, preparing deliveries as well as general office cleaning. (Back-up only)
- Support other team members by pitching in where/when needed.
Compensation
The annual salary for this role will be between $40,000 and $60,000 depending on experience and licensing.
