We are seeking an organized, proactive, and detail-oriented Special Events Assistant to provide administrative and hands-on operational support directly to our Office Manager / Special Events Manager.
This contract role supports the execution of a major corporate event—including our annual AGM and Holiday Party—alongside daily, fast-changing event preparations. The ideal candidate is a solid communicator, highly proficient in Microsoft Office, skilled at managing spreadsheets and guest lists, and capable of anticipating event needs before challenges arise.
Contract Schedule & Dates
Candidates must be available on-site for all scheduled dates below:
- Planning & Prep Days (8 hrs/day): Sept 30, Oct 7, Oct 14, Oct 21, Oct 28, Nov 4, Nov 17, Nov 18, Nov 19
- Main Event Day (8 hrs): November 21 (9:00 AM – 5:00 PM)
- Teardown & Storage Day (Half Day): November 23 (Load-out, inventory tagging, returning items to storage)
Key Responsibilities
- Daily Event Support & List Management: Support the Manager with fast-paced, daily, and evolving requests. Import, clean, and maintain guest lists, RSVP trackers, and seating charts in Microsoft Excel.
- Document Preparation: Draft and format event schedules, run-of-show documents, and administrative memos in Microsoft Word.
- Materials & Supply Coordination: Prepare and organize all printed event materials, signage, agendas, name tags, and gift bags. Verify and stage supplies well ahead of event days.
- On-Site Execution & Guest Services: Assist with physical venue setup and breakdown (signage, supplies and decor). Staff registration desks, manage attendee check-in, and welcome guests with excellent verbal English communication skills.
- Vendor & Inventory Management:
Help coordinate on-site vendor arrivals and direct complex issues to the Event Manager. Assist with packing, loading, inventory tagging, and returning event gear to storage following event completion.
Qualifications & Requirements
- Local Residency: Must currently reside in the Metro Vancouver / Lower Mainland area and be able to commute reliably to Surrey office and event location, Downtown Vancouver.
- Work Authorization: Must be legally authorized to work in Canada on an independent contract basis today (no employer sponsorship provided).
- Communication: Excellent verbal and written English communication skills for qualified email drafting, guest interaction, and live event coordination.
- Software Skills: High proficiency in the Microsoft Office Suite—specifically Excel (filters, sorting, data entry, list management), and Word (formatting and templates).
- Proactive Mindset: Exceptional foresight—ability to spot missing details, list discrepancies, or scheduling conflicts before they become issues.
- Physical Capability: Ability to lift light-to-medium event supplies (boxes, decor, displays) and assist with physical setup/breakdown.
- References: Must be able to provide 2 professional references from past managers or supervisors upon request.
Pay: $25.00 per hour
Ability to commute/relocate:
- Surrey, BC: reliably commute or plan to relocate before starting work (required)
