As our company continues to grow, we are seeking a highly organized and detail-oriented Bookkeeper & Office Administrator to become a key member of our management team. This position goes well beyond traditional bookkeeping—you will play an active role in the financial health, administration, and day-to-day operations of the business while working closely with ownership and project management.

The Role

As Bookkeeper & Office Administrator, you will oversee the company's accounting records while coordinating many of the administrative functions that keep our projects moving efficiently. You will work closely with project managers, subcontractors, suppliers, and clients to ensure our financial information remains accurate and our office operates smoothly.

Responsibilities

Bookkeeping & Accounting

- Maintain company books using QuickBooks Online.
- Process accounts payable and accounts receivable.
- Prepare customer invoices and monitor collections.
- Reconcile bank accounts, credit cards, and loan accounts.
- Process payroll and ensure accurate CRA remittances.
- Prepare GST/PST filings and assist with year-end accounting.
- Maintain job costing records and allocate expenses to projects.
- Prepare monthly financial reports,



including profit and loss statements, balance sheets, and cash flow summaries.
- Assist ownership with budgeting, forecasting, and financial planning.
- Coordinate with the company's external accountant and CPA.

Office Administration

- Answer phones, emails, and client inquiries professionally.
- Coordinate project documentation and digital filing systems.
- Assist with permit applications, insurance documentation, and municipal correspondence.
- Schedule meetings, supplier appointments, and subcontractors.
- Order office supplies and coordinate deliveries.
- Maintain employee files and administrative records.
- Assist with onboarding new employees and subcontractors.
- Prepare contracts, change orders, and project documentation as required.

Business Operations

- Monitor project budgets and assist with cost tracking.
- Review supplier invoices and purchase orders.
- Assist in developing and improving office procedures and workflows.
- Support management with reporting, KPI tracking, and operational improvements.
- Help maintain an organized, efficient, and professional office environment.

Qualifications

- Minimum 3 years of bookkeeping experience, preferably within construction or a project-based business.
- Proficiency with QuickBooks Online is required.
- Strong understanding of payroll, GST, PST, accounts payable, accounts receivable, and bank reconciliations.
- Excellent organizational and time-management skills.
- Strong attention to detail and high level of accuracy.
- Professional communication skills, both written and verbal.
- Proficiency with Microsoft Office (Excel, Word, Outlook) and Google Workspace.
- Ability to manage multiple priorities in a fast-paced environment.




- Experience with construction job costing is considered a strong asset.
- Experience working with permits, contracts, or project administration is an asset.
- Bookkeeping or accounting certification is preferred but not required.

Compensation & Benefits

- $25.00–$32.00 per hour, based on experience and qualifications.
