The Marketing and Events Coordinator helps coordinate both internal and external activities while ensuring a consistent and professional experience across all communications and events.
Position Summary
This is a broad coordinator role. The core priorities are content and communications, event coordination, brand consistency, website and digital content support, and practical use of AI tools to improve speed, quality, and efficiency. Graphic design, paid digital campaigns, advanced analytics, video production, and e-commerce/CMS administration are helpful assets, but candidates are not expected to be advanced specialists in every area.
Key Responsibilities
Marketing, Brand, and Communications
- Develop, coordinate, and support marketing and communications initiatives that promote the firm’s services, people, culture, community involvement, and client value proposition.
- Use AI writing and productivity tools to accelerate first drafts of newsletters, social posts, website updates, internal announcements, event invitations, brochures, and other marketing materials, then edit and refine for brand voice, accuracy, clarity, professionalism, and compliance.
- Ensure all marketing and communications materials align with the firm’s brand standards, tone, visual identity, and professional obligations.
- Support internal communications, including announcements related to firm news, promotions, events, community activities, staff engagement, and organizational updates.
- Maintain a marketing and communications calendar to coordinate campaigns, events, deadlines, seasonal priorities, and content repurposing opportunities
Digital Marketing, Social Media, and AI-Enabled Content
- Develop, schedule, publish, and monitor engaging content across firm-approved professional and social media channels.
- Support the firm’s employer brand by highlighting staff achievements, promotions, culture, recruiting initiatives, student programs, CPA development, community involvement, and office events.
- Use AI-powered social analytics tools to identify engagement patterns and content performance trends, and translate insights into faster, data-driven content adjustments.
- Coordinate digital advertising campaigns, sponsored posts, or paid social initiatives where applicable to support recruitment, events, brand awareness, and business development priorities.
- Actively identify and pilot new AI tools that can improve content speed, quality, or personalization — from copywriting assistants to AI image generation to campaign automation.
- Maintain digital marketing records, campaign results, image libraries, content calendars, reusable marketing assets, and AI-generated draft records where required.
Website, AEO, and Digital Content
- Write and coordinate website articles or posts related to tax deadlines, accounting updates, firm announcements, recruitment, community events, and professional insights, in collaboration with technical subject matter experts.
- Optimize all content — blog posts, LinkedIn posts, website copy — for both traditional search engines (SEO) and AI-driven search and answer engines (AEO/Answer Engine Optimization), ensuring content is structured and phrased to be surfaced accurately by tools like ChatGPT, Perplexity, and Google AI Overviews.
- Leverage AI-assisted analytics tools to track content visibility, engagement, and AEO performance indicators, and proactively surface content opportunities rather than relying only on manual reporting.
- Support routine website updates using the firm’s approved content management system, e-commerce/CMS tools, or equivalent platforms, escalating technical issues as needed.
Event Planning and Coordination
- Plan, coordinate, and support internal and external firm events, including client appreciation events, recruitment events, student events, CPA recognition events, staff celebrations, training sessions, and seasonal gatherings.
- Coordinate event logistics, including timelines, budgets, venues, catering, invitations, registration, seating plans, signage, presentation materials, technology, photography, supplies, and post-event follow-up.
- Use AI and automation tools where appropriate to support event planning, invitation lists, reminder communications, checklists, post-event surveys, summaries, and follow-up actions.
- Liaise with vendors, venues, sponsors, community partners, speakers, staff, volunteers, and internal stakeholders to ensure events are well organized and professionally delivered.
- Create event communications and promotional materials, including invitations, posters, digital graphics, registration pages, email reminders, social posts, name tags, signage, and presentation decks.
- Attend events as required to support set-up, registration, guest experience, photography, troubleshooting, take-down, and coordination of volunteers or staff participants.
- Track event outcomes, attendance, costs, feedback, and lessons learned to support continuous improvement.
Graphic Design, Print, and Creative Production
- Design and produce branded materials for digital and print use, including social media graphics, event signage, brochures, information sheets, proposals, presentations, recruitment materials, office displays, postcards, letterhead, templates, and internal communications assets.
- Use approved design, image editing, and AI-assisted creative tools to support faster production of draft concepts, visual variations, image treatments, and reusable templates while maintaining brand standards and human review.
- Prepare print-ready artwork and coordinate production with printers, promotional product suppliers, signage vendors, photographers, and other external service providers.
- Maintain organized design files, templates, brand assets, image libraries, and marketing collateral to support efficient reuse and consistency.
- Source and edit photography, graphics, and visual assets while ensuring proper permissions, quality, accessibility, and brand alignment.
Business Development, Client Experience, and Community Engagement
- Support business development activities by preparing branded materials, coordinating client touchpoints, assisting with proposal or presentation formatting, and supporting campaigns that promote firm services and expertise.
- Coordinate marketing support for firm sponsorships, community partnerships, charity events, professional association involvement, and networking initiatives.
- Help ensure client-facing communications are skilled, timely, accurate, and aligned with the firm’s service standards.
Email Marketing and Campaign Coordination
- Develop and distribute email campaigns, newsletters, event invitations, internal updates, and promotional communications using the firm’s approved email marketing platform and templates.
- Use AI tools to draft, summarize, segment, personalize, and repurpose campaign content,
while ensuring final communications are accurate, brand-aligned, and reviewed appropriately.
- Coordinate communication plans for recurring firm priorities, including tax season updates, client seminars, staff events, and milestone announcements.
Qualifications and Experience
- Diploma or degree in Marketing, Communications, Graphic Design, Public Relations, Business, Event Management, or a related field; an equivalent combination of education and experience may be considered.
- Minimum of 2 years of experience in marketing, communications, digital marketing, event coordination, or a related role.
- Experience in a professional services environment is an asset; experience in accounting, financial services, legal, consulting, or a client-service business is preferred.
- Demonstrated experience creating written content for professional audiences, including social media posts, newsletters, website copy, event communications, and internal announcements.
- Demonstrated enthusiasm for and experience using AI tools to increase marketing output and efficiency.
- Working knowledge of AEO principles and an interest in structuring content so it can be accurately surfaced by AI-driven search and answer engines.
- Experience coordinating events from planning through execution, including logistics, vendors, communications, budgets, timelines, and post-event follow-up.
- Strong graphic design skills and experience producing branded materials for digital and print channels.
- Excellent organizational skills with the ability to manage multiple priorities, deadlines, stakeholders, and last-minute changes.
- Strong attention to detail, proofreading ability, discretion, professionalism, and sound judgment when working with confidential or sensitive information.
Technical Skills
- Microsoft 365, including Word, Excel, PowerPoint, Outlook, and Teams.
- Proficiency or strong working knowledge of AI content and productivity tools, such as ChatGPT, Claude, Microsoft Copilot, or similar tools, for drafting, editing, summarizing, repurposing, and improving content across channels; familiarity with AI image generation tools is an asset.
- Working knowledge of AEO concepts, AI search/answer-engine visibility, content structure, and plain-language digital writing.
- Adobe Creative Suite, including Photoshop, Illustrator, InDesign, and Acrobat; Canva or similar design tools may also be considered an asset.
- Firm-approved social media platforms, social scheduling tools, and basic social analytics tools.
- Email marketing platforms, such as Mailchimp or an equivalent approved platform.
- Website content management systems, including WordPress/WooCommerce or equivalent CMS/e-commerce experience, are assets.
- Google Business Profile, Google Analytics, AEO/digital content tools, and basic digital advertising platforms are assets.
- Basic photography, image editing, video editing, and digital asset management skills are assets.

Pay: $50,000.00-$80,000.00 per year
