Type: Full-time, Permanent
Hours: Monday to Friday, 8:30 am to 4:45 pm (flexibility required)
Position Summary:
The Scheduling Operations Manager oversees the full scheduling cycle and ensures staffing practices align with operational needs, collective agreements, and organizational standards. You will lead the scheduling team, manage UKG (Kronos) Advanced Scheduling functionality, and work closely with site leadership to maintain accurate, consistent, and high‑quality schedules across all locations. This role requires strong leadership, hands‑on UKG expertise, and the ability to balance operational requirements, labor rules, and the employee experience.
Qualifications & Experience:
- Hands-on experience with UKG(Kronos) Advanced Scheduling, including configuration, troubleshooting, and system maintenance.
- Diploma or degree in Healthcare Administration, Human Resources,
Business Administration, or related field (or equivalent combination of education and experience)
- 3-5 years’ experience in scheduling operations in a 24/7 or multi-site environment
- 1-3 years of leadership experience supporting staff performance and workflow
- Strong understanding of collective agreements, labor laws, and scheduling practices
- Advanced analytical skills with experience interpreting scheduling data, metrics, and workforce trends
- Proficiency in MS Office Suite, including advanced Excel Skills
- Strong organizational, communication, and problem-solving skills
- Commitment to safety, professionalism, and high-quality service
Key Responsibilities:
1. Lead the scheduling team through direction, coaching, and performance support.
2. Build and maintain accurate schedules, rotations, and staffing templates aligned with collective agreements and operational needs.
3. Publish rotations and schedules on time with a high degree of accuracy.
4. Manage vacation, leaves, shift swaps, and staffing allocations, including casual and relief staff.
5. Monitor scheduling KPIs such as overtime, unfilled shifts, and schedule accuracy.
6. Provide escalation support and guidance on complex scheduling or labor interpretation issues.
7. Partner with site and departmental leaders to forecast staffing needs and address labor gaps.
8. Configure, maintain, and optimize UKG system rules, labor policies, and scheduling workflows.
9. Train managers and schedulers on UKG functionality, scheduling processes, and best practices.
10.
Troubleshoot UKG system issues and coordinate resolutions with internal teams and external vendors.
11. Collaborate with HR, Payroll, and Site Leadership to ensure alignment and accuracy across staffing records.
12. Develop and maintain SOPs for scheduling processes and workforce planning activities.
13. Analyze scheduling trends to identify opportunities for labor optimization and system improvements.
