Port to Port Immigration Services Inc., is headquartered in Halifax, Nova Scotia, with a part-time office in Prince Edward Island, Canada. While the company has been a B2B Immigration Service Provider, we are now accepting individual clients from across the country. The administrative assistant is required to help the director coordinate and report for multiple projects, and, accreditations.
Job Summary
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The ideal candidate will provide essential support to our office operations, ensuring that tasks are completed efficiently and effectively. This role requires strong organizational skills, attention to detail, and the ability to communicate professionally with clients and colleagues.
Duties
- Manage and organize office tasks, including scheduling appointments and maintaining calendars.
- Provide exceptional customer support by answering inquiries and addressing concerns in a timely manner.
- Utilize Google Suite for document creation, data management, and communication with team members.
- Operate phone systems to handle incoming calls, ensuring proper phone etiquette is maintained at all times.
- Assist in proofreading documents for accuracy and clarity before distribution.
- Perform clerical duties such as filing, data entry, and maintaining organized records in a medical office environment.
- Collaborate with team members to streamline office processes and improve overall efficiency.
- Project Tracking and program service delivery.
Qualifications
- Proven experience as an Administrative Assistant or in a similar clerical role.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Proficiency in Google Suite applications (Docs, Sheets, Drive) is required.
- Excellent phone etiquette and communication skills for effective customer support.
- Familiarity with Canadian Immigration programs and pathways is an asset but not mandatory.
- Attention to detail with strong proofreading capabilities to ensure high-quality documentation.
- Ability to work independently as well as collaboratively within a team workplace.
Requirements
- Must be available to travel.
- Must be willing to come to the office for meetings.
- Must be located in Atlantic Canada.
- Must be proficient with social media, and marketing platforms.
- Must be a quick learner.
