Pay: $23.00–$25.00 per hour
Schedule: Monday to Friday

At OCTS, we hire for passion, integrity, and experience. We are looking for a reliable and detail-oriented individual to join our team as a Parts & Fleet Administrator at our Acheson location.

Position Overview

The Parts & Fleet Administrator is responsible for supporting parts administration, inventory management, shop support, fleet administration, compliance tracking, record keeping, and general administrative duties.

This is a highly administrative role that requires strong attention to detail, Excel and computer skills, organization, follow-up, and the ability to work in a shop and fleet environment. The successful candidate will support both the Facilities and Equipment Manager and the Fleet/Dispatch Manager.

This position is fully in-office at our Acheson location. There is no remote or hybrid option.

Key Responsibilities

Parts Administration

- Manage parts and supply inventory.
- Determine and adjust minimum order quantities as needed.
- Organize parts storage areas, shelves, stock locations, and inventory records.




- Receive shipments and properly store parts and supplies.
- Track damaged, used, returned, or defective parts.
- Maintain accurate records of inventory, price lists, shortages, shipments, expenditures, and parts usage.
- Keep spreadsheets updated in Microsoft Teams.
- Issue purchase orders for departments and vendors when required.
- Maintain internal cost records on work orders.
- Support the implementation and ongoing use of a parts system.
- Complete accurate data entry for parts inventory, distribution, and usage.
- Assist shop personnel and mechanics with parts-related needs.
- Communicate professionally with vendors, suppliers, supervisors, and internal team members.
- Provide backup support for transload administration when needed.
- Complete other administrative duties as assigned.

Fleet Administration

- Support fleet and equipment administration processes.
- Assist with fleet compliance documentation and record keeping.
- Maintain and update fleet records as required.
- Assist with troubleshooting fleet system issues.
- Support the Fleet/Dispatch Manager with administrative tasks as needed.
- Help ensure fleet-related documents, records, and tracking systems remain accurate and up to date.

Qualifications

- Previous administrative experience is required.
- Strong Excel and computer skills are required.
- Experience with purchase orders, invoices, work orders,



inventory tracking, or fleet records is preferred.
- Previous experience in a parts, shop, fleet, transportation, equipment, or maintenance environment is considered an asset.
- Strong attention to detail and accuracy.
- Strong organization and follow-up skills.
- Ability to manage multiple priorities in a rapid-paced environment.
- Comfortable communicating with mechanics, vendors, supervisors, and internal team members.
- Comfortable working in and around a shop environment when required.
- Ability to lift, move, or handle stockroom parts as needed.
- Reliable attendance and punctuality are required.
- Must have reliable transportation to Acheson, as public transportation is limited.

Safety Requirements

- Must comply with company policies and safety procedures.
- Must wear required PPE when in the shop or handling parts.
- Safety boots and a reflective vest are required when working in designated shop or yard areas.

Work Conditions

- Full-time, Monday to Friday.
- Fully in-office position.
- No remote or hybrid work option.
- Based at our Acheson location.
- Work may involve time in office, shop, and parts storage areas.

Pay: $23.00-$25.00 per hour
