Summary Of Position: The Parts Manager is accountable for driving operational excellence across two high-volume luxury automotive dealership locations. This hands-on leadership role oversees Assistant Managers, a Supervisor, Parts Advisors, and Warehouse staff while ensuring exceptional customer satisfaction, inventory performance, operational efficiency, employee development, and departmental profitability.
Reporting directly to the CEO/Managing Partner, the Parts Manager monitors, analyzes, and achieves key performance indicators (KPIs) while working closely with leaders in Service, Sales, Finance, and Accounting. This role oversees all areas of parts operations, including inventory management, wholesale growth, financial performance, employee development, manufacturer compliance, and process improvement.

Key Responsibilities
Leadership & Team Development
- Lead, mentor, coach, and develop a multi-level team that includes Assistant Managers, a Supervisor, Parts Advisors, and Warehouse staff.
- Foster a culture of accountability, engagement, continuous improvement, and exceptional customer service.
- Recruit, train, develop, and retain high-performing team members while creating succession plans for future growth.
- Manage staff scheduling across two locations to ensure appropriate coverage, productivity, customer satisfaction, and labour cost control.
- Drive employee participation in manufacturer, dealership, TDG, and safety training programs.
Parts Operations & Inventory Management
- Oversee daily Parts Department operations across both locations, ensuring accuracy, efficiency, and service excellence.
- Optimize inventory investments through effective forecasting, stocking strategies, inventory turns, and replenishment practices.
- Monitor and reduce aged inventory and obsolescence while maximizing return opportunities and vendor credit recoveries.
- Oversee cycle counts, annual physical inventory processes, and inventory reconciliation activities.
- Manage special-order parts processes and ensure timely fulfillment of customer and technician needs.
- Monitor lost sales, emergency purchases, freight costs, and inventory performance to identify opportunities for improvement.
Fixed Operations & Cross-Department Collaboration
- Partner closely with Service leadership to ensure parts availability and support technician productivity and shop efficiency.
- Collaborate with Service Managers and staff to promote sales momentum, parts specials, featured products, and accessory sales opportunities.
- Collaborate with Sales, Finance, and accounting leaders to support dealership profitability and achieve departmental goals.
- Participate in Fixed Operations meetings and contribute to strategic planning initiatives.
- Support manufacturer bonus programs and dealership performance objectives through effective operational execution.
Financial Performance & Reporting
- Monitor, analyze, and report departmental KPIs, financial performance, and operational trends to the CEO/Managing Partner.
- Manage departmental budgets and inventory investments while maintaining profitability targets.
- Drive achievement of revenue, gross profit, gross margin, and inventory performance targets.
- Conduct pricing reviews and implement strategies that maintain competitive market positioning while protecting profitability.
- Utilize data and reporting tools to identify opportunities for operational and financial improvement.
Wholesale Operations
- Develop and implement strategies to grow wholesale parts sales and increase market share.
- Build and maintain strong relationships with independent repair facilities, collision centers, and commercial customers.
- Oversee wholesale credit accounts and aged accounts receivable balances.
- Partner with Finance and Accounting to reduce overdue balances and mitigate collection risks.
Compliance & Systems Management
- Ensure compliance with manufacturer standards, dealership policies, CANUTEC regulations, and Transportation of Dangerous Goods (TDG) requirements.
- Lead staff certification and ongoing training related to TDG, CANUTEC protocols, dealership systems, and manufacturer programs.
- Collaborate with DMS providers, software vendors, and accounting teams to ensure system reliability, data integrity, and workflow efficiency.
- Maintain accurate departmental records, reporting, and compliance documentation.
Qualifications
- Experience in automotive parts management within a high-volume luxury dealership environment.
- Proven leadership ability with success managing multi-level teams across multiple functions.
- Proficiency in dealership DMS and manufacturer systems (Reynolds preferred).
- Strong background in KPI management, staff scheduling, inventory control, obsolescence reduction, and vendor return programs.
- Solid understanding of CANUTEC emergency reporting and Transportation of Dangerous Goods (TDG) certification.
- Demonstrated success in managing wholesale accounts and reducing aged A/R balances.
- Financially astute, data-driven, and results-oriented with a track record of achieving revenue and margin targets.
- Excellent communication, collaboration, and problem-solving skills.
Performance Metrics
Success in this role will be measured by:
- Fill Rate – Internal, retail, and wholesale order completion percentage.
- Gross Margin % – Achievement of target margins on parts sales.
- Revenue Growth – Achievement of retail and wholesale sales objectives.
- Inventory Turns – Maintaining inventory performance in line with manufacturer and dealership benchmarks.
- Aged Inventory % – Reduction of stock aged beyond 90 days and management of obsolescence.
- Lost Sales % – Minimizing missed sales opportunities through effective inventory planning.
- Cycle Count Accuracy – Maintaining inventory accuracy above 98%.
- Emergency Purchase & Freight Costs – Effective control of expedited freight and non-stock purchases.
- RMA Velocity – Average time from vendor return initiation to credit posting.
- Manufacturer Bonus Attainment – Meeting or exceeding manufacturer incentive program targets.
- Wholesale Sales Growth – Year-over-year growth in wholesale revenue and customer base.
- A/R Days Outstanding – Reduction of overdue balances and maintenance of healthy receivables.
- Staff Retention & Development – Building and maintaining a high-performing team through coaching and development.
- Staff Scheduling & Coverage – Ensuring efficient staffing levels and operational coverage across both locations.
- Customer Satisfaction – Delivering exceptional service levels to internal and external customers.
Qualifications
- Minimum 5 years of progressive automotive parts management experience within a high-volume luxury dealership environment.
- Proven success leading large, multi-level teams in a fast-paced dealership setting.
- Experience managing operations across multiple locations is considered a solid asset.
- Strong understanding of Fixed Operations and the relationship between Parts, Service, Sales, and Finance departments.
- Proficiency with dealership management systems and manufacturer platforms; Reynolds & Reynolds experience is preferred.
- Demonstrated expertise in inventory management, inventory turns, obsolescence reduction, forecasting, vendor return programs, and cycle count accuracy.
- Experience managing significant inventory investments and departmental budgets.
- Proven ability to achieve revenue, gross profit, gross margin, and operational performance goals.
- Demonstrated success managing wholesale operations and reducing aged accounts receivable balances.
- - Advanced financial acumen, with the ability to analyze KPIs, identify trends, and implement corrective actions.
- Strong understanding of CANUTEC emergency reporting requirements and Transportation of Dangerous Goods (TDG) regulations.
- Exceptional leadership, coaching, communication, and team-building skills.
- Proficiency in Microsoft Office, reporting tools, and operational analytics.
- Results-driven mindset with a commitment to continuous improvement and operational excellence.
Compensation: $100,000 - $130.000 per year.
Work Workplace:
Our hours of operations are below. The hours and days of work are dependent on your role with a 40-hour workweek for full-time employment.
- Monday to Friday from 7:30am to 6:00pm
- Saturday from 8:30am to 5:00pm
