Hours: Guaranteed 30 hours per week

Job Summary:

Tasbra Communities is seeking an organized, dependable, and service-oriented Property Administrator to support the daily administration and operation of its residential communities.

The successful candidate will communicate with residents, administer resident and occupancy documentation, coordinate maintenance and repair requests, work with vendors and contractors, process property-related administrative documents, and maintain accurate resident, vendor, and operational records.

Key Responsibilities:

The Property Administrator will perform the following duties:

- Communicate with residents and respond to inquiries, concerns, complaints,



and service requests;
- Assist with resident onboarding, move-in documentation, occupancy records, rent receipts, rent increase notices, and other resident correspondence;
- Maintain accurate resident, occupancy, vendor, contractor, and property administration records;
- Receive, document, and follow up on maintenance and repair requests;
- Coordinate maintenance, repairs, inspections, and other property services with vendors, contractors, utility providers, and residents;
- Obtain and process quotations, purchase orders, packing slips, invoices, receipts, contracts, and related supporting documents;
- Monitor the completion of maintenance and repair work and report delays, deficiencies, or significant concerns to management;
- Conduct routine community inspections and report maintenance needs, irregularities, or possible violations of community rules;
- Prepare administrative and operational reports and maintain organized electronic and paper filing systems;
- Prepare and maintain documentation and correspondence relating to residents, vendors, property services, and routine landlord-and-tenant matters;
- Travel weekly to other residential communities operated by the employer, as required; and
- Perform other related property administration duties as assigned.

Qualifications and skills required:

- Completion of secondary school is required;
- A minimum of three years of administrative experience in property administration,



office administration, contract or vendor administration, or a related field is required;
- Property management, real estate, or business administration training is an asset;
- Experience coordinating vendors, contractors, maintenance requests, or property services is an asset;
- Experience processing invoices, purchase orders, receipts, and other administrative documents is an asset;
- Strong communication, organizational, customer service, and problem-solving skills;
- Proficiency with Microsoft Office, email, and electronic filing systems; and
- A valid driver’s licence, access to reliable transportation, and the ability to travel weekly to other communities are required.

Work Schedule and Setting

- The employee will be guaranteed 30 hours of work per week in a residential community and property administration environment;
- The work schedule will primarily consist of daytime hours. Occasional evening hours may be required based on operational or resident-related needs;
- The position involves regular communication with residents, management, vendors, contractors, utility providers, and other service providers; and
- The employee will work primarily at the Niagara Falls location, with weekly work-related travel to other residential communities operated by the employer.
