Clerkship Curriculum Coordinator - Faculty of MedicineCompetition Number:126E26Position Type:Staff PositionClosing Date:Aug 4, 2026Date of Posting:Jul 28, 2026Department:Faculty of MedicinePosition:Contract:Full-Time Permanent PositionHours of Work:37.5 hours per week$75,266 to $82,469 per annum, as per CUPE 1870Reporting to the Manager, Undergraduate Medical Education (UGME), in the Faculty of Medicine at UPEI, the Clerkship Curriculum Coordinator (CCC) works closely with the Clerkship, Electives and Selectives Coordinators at Memorial University, UPEI’s Distributed Medical Education (DME) team, Health PEI, and clinical discipline representatives to support the delivery of the Undergraduate Medical Education (UGME) program for Phase 4 (Years 3 and 4;
Clerkship) on the UPEI campus.The CCC plays a vital, multifaceted role in ensuring the effective oversight and coordination of clinical placements, learner logistics, faculty engagement, and assessment tracking across the clerkship years of the UGME program. The position requires a high degree of organizational skill, independent decision-making, prioritization, and relationship management across multiple institutions and clinical sites.What we offer:- Comprehensive Health and Dental Care Benefits- Tuition Waivers- Health and Wellness on Campus available to staff and their families- Professional Development OpportunitiesRESPONSIBILITIES:Leadership of scheduling and implementation of Phase 4 curriculum- Oversee the development of scheduling templates for clinical placements for Phase 4 on PEI.- Develop, maintain, and oversee clerkship schedule templates using shared systems and scheduling tools.- Distribute core experience requests to DME Academic Program Assistants (APAs) for the clinical disciplines and confirmation of learner placements.- Liaise and align with Health PEI, clinical departments and faculty to ensure supervision and learning experiences meet accreditation requirements.- Coordinate and administer electives and selectives placements within PEI.- In collaboration with the Faculty Lead for Clinical Experiences,



review approved clinical learning accommodations and work with HPEI to ensure these requirements can be met.- Drive the development and refinement of processes to scale the program to accommodate future learner growth.- Book and communicate classroom and clinical skills room bookings for the on-campus sessions and examinations for Phase 4 programming.Accountability for assessment processes and reporting- Ensure completion of clinical assessments in collaboration with the DME APA’s and follow up with faculty on outstanding submissions.- Maintain and ensure integrity of learner assessment records and facilitate reporting to Memorial via One45 and secure file sharing.- Contribute to and coordinate assessment reporting and program evaluation templates provided to DME APAs.- Collaborate with Memorial clerkship, electives and selectives teams to ensure alignment with assessment standards and timelines.- Participate in and report to the Memorial Phase 4/Clerkship Committee.Administration of Electives and Selectives- Coordinate and manage local elective and selective placements on PEI in collaboration with DME APA’s.- Collaborate with Memorial to facilitate home and visiting elective processes.- Track, monitor, and follow up on completion of elective/selective assessments in collaboration with DME APAs.Faculty coordination and operational oversight- Track, manage, and validate clinical faculty teaching hours in collaboration with DME APAs via secure file sharing to ensure accurate reporting for remuneration purposes to HPEI.- Coordinate career development opportunities for clerkship preceptors in collaboration with DME APAs.Program evaluation, accreditation and development- Contribute to and coordinate accreditation activities through data collection and documentation.- Participate in and inform program evaluation and quality improvement initiatives.- Develop and implement operational processes for clerkship delivery in collaboration with DME.- Contribute to strategic planning and growth of the clerkship program.Other duties as required and unique considerations- Other duties as required to ensure the successful delivery of the UGME curriculum across all four years of the MD program, including cross-training and operational coverage.- This position is considered essential to program delivery and supports critical functions required for the implementation of the medical curriculum.QUALIFICATIONS:- Completion of an undergraduate degree with at least five years related work experience. A combination of other education and related work experience may be considered.- Experience within a post-secondary institution or a health authority would be considered an asset.- This role requires a high degree of coordination with the academic support units within the UPEI Faculty of Medicine. As a result, the incumbent must demonstrate successful negotiation and conflict management skills.- Superior interpersonal skills and strong oral and written communication skills are required.- To excel in the position, it would be essential to possess excellent analytical and organizational skills, effective leadership and strategic thinking abilities, and a solid attention to detail.- Proficiency in Microsoft 336, particularly Office Suite, including Excel, is required.- Knowledge of Desire2Learn (Brightspace) and One45 software programs would be considered assets.UPEI is committed to equity, diversity, inclusion, and reconciliation and believes in providing a positive learning and working environment where every person feels empowered to contribute.
