The incumbent will provide confidential administrative support Physicians and Site Lead St. Boniface, enter payroll, support program statistics and perform other duties as assigned to meet the objectives. The incumbent will also assist the department with physician onboarding, coordination and minute taking of meetings, preparation and upkeep of administrative standard operating procedures, supervision of secretarial in-scope staff and coverage for out-of-scope administrative duties.The Administrative Assistant will be required to work in a fast-paced environment and to prioritize a large complex workload to meet deadlines.



The incumbent has the ability to coordinate workflow and meet deadlines with frequent interruptions, exercise sound judgment, maintain confidentiality, and be willing to assume a variety of assignments, as required. The candidate must be a self-starter, have the ability to work both independently and in a team setting with minimal supervision.The incumbent will work to ensure a high level of coordination and communication between physicians, Site Lead St. Boniface, Administrative Officers and Physician Services Manager within the Department of Medical Oncology & Hematology.Qualifications:Required:EducationSuccessful completion of a recognized Administrative Training Program from an accredited educational institution.Experience3 years directly related experience, supporting an intermediate / senior level leaderExperience on payroll entries for department staffExperience recording and preparing minutes and agendasAn acceptable equivalent combination of education and experience may be considered.Skills and AbilitiesAbility to work in a fast-paced workplace and work effectively under pressure to meet deadlinesAbility to coordinate and work with a multidisciplinary teamStrong computer literacy and proficiency in MS Office Suite (Outlook, Word, Excel, Access, PowerPoint)Excellent communication (written and verbal) and interpersonal skillsAbility to work effectively both independently and as a member of a teamAbility to work in several competing priorities simultaneouslyDemonstrated problem-solving and organizational skillsDemonstrated excellence of written and verbal communication skillsAbility to compose correspondence on behalf of leadershipExperience scheduling and coordinating meetings and travelsExperience maintaining spreadsheets and databasesExcellent keyboarding skills 65 WPM.Physical Demands and Working ConditionsMust be able to work safely in a typical computerized office environment and able to lift and carry itemsOtherMust have satisfactory employment record.Must be legally able to work in Canada.Ability to speak French is preferred.This position is subject to a Criminal Record Check, including Vulnerable Sector Search, an Adult Abuse Registry Check and a Child Abuse Registry Check.
