About the role Uja is seeking a skilled Event Manager for a 12-month contract position based in North York, Ontario. This role is pivotal in orchestrating a variety of events that align with our organizational goals and community engagement strategies. The ideal candidate will bring a wealth of experience in event planning and management, ensuring that each event is executed flawlessly and meets the expectations of our stakeholders.

What you’ll do Plan, coordinate, and execute a diverse range of events, including conferences, workshops, and community outreach programs, ensuring they align with Uja's mission and objectives.
Collaborate with various internal teams and external partners to develop event themes, agendas, and logistics that resonate with target audiences.
Manage event budgets, tracking expenses and ensuring that all events are delivered within financial parameters while maximizing resources.
Oversee venue selection and management, including negotiating contracts and ensuring compliance with all venue requirements.
Develop and implement marketing strategies to promote events, utilizing social media, email campaigns, and other channels to drive attendance and engagement.
Coordinate with vendors and suppliers to secure necessary services such as catering, audiovisual equipment, and transportation, ensuring high-quality service delivery.
Conduct post-event evaluations to assess success and gather feedback, using insights to improve future events and reporting findings to stakeholders.
Maintain a detailed project timeline and checklist for each event,
ensuring all tasks are completed on schedule and that all team members are informed of their responsibilities.
Serve as the primary point of contact for event-related inquiries, providing excellent customer service to attendees, sponsors, and partners.
Ensure compliance with health and safety regulations, as well as any relevant legal requirements, throughout the planning and execution of events.
Foster relationships with community organizations and stakeholders to enhance Uja's visibility and support for future events.
Stay current with industry trends and best practices in event management, continuously seeking opportunities for professional development and innovation.
Requirements A minimum of 3 years of experience in event planning and management, preferably within a nonprofit or community-focused organization.
Proven track record of successfully managing multiple events simultaneously, demonstrating strong organizational and time management skills.
Excellent communication and interpersonal skills, with the ability to engage and collaborate with diverse stakeholders.
Strong budgeting and financial management capabilities, with experience in tracking expenses and managing resources effectively.
Proficiency in event management software and tools, as well as Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to work flexible hours,
including evenings and weekends, as required by event schedules.
Solid problem-solving skills and the ability to remain calm under pressure, adapting to changing circumstances as needed.
Nice to have Experience in digital event planning, including virtual and hybrid events, is a plus.
Familiarity with social media marketing and content creation to promote events effectively.
Knowledge of the local community and existing networks within North York and surrounding areas.
Certification in event planning or a related field (e.g., CMP, CSEP) is advantageous.
Fluency in multiple languages is a plus, enhancing communication with diverse audiences.
