Engineering Records Coordinator at Geospectrum. About the role Geospectrum is seeking a dedicated Engineering Records Coordinator to join our dynamic team in Dartmouth, Nova Scotia. This full-time position plays a crucial role in managing and organizing engineering documentation and records, ensuring compliance with industry standards and internal protocols. The ideal candidate will possess strong organizational skills and attention to detail, contributing to the overall efficiency of our engineering operations.

What you'll do Oversee the collection, organization, and maintenance of engineering records, ensuring they are up-to-date and easily accessible.
Implement and manage a systematic filing system for engineering documents, including drawings, specifications, and project reports.
Collaborate with engineering teams to gather necessary documentation for ongoing and completed projects, ensuring all records are complete and accurate.
Conduct regular audits of engineering records to verify compliance with company standards and industry regulations.
Assist in the preparation of reports and documentation for internal and external stakeholders, ensuring clarity and accuracy.
Facilitate the digitalization of records, transitioning from paper-based systems to electronic formats to enhance accessibility and security.
Provide training and support to engineering staff on best practices for record-keeping and documentation management.
Act as a point of contact for inquiries related to engineering records,



providing timely and accurate information to team members and management.
Coordinate with IT and other departments to ensure that the record management system is functioning optimally and securely.
Maintain confidentiality and security of sensitive engineering documents, adhering to company policies and legal requirements.
Participate in continuous improvement initiatives to enhance the efficiency of record management processes.
Support project managers by providing timely access to necessary documentation for project planning and execution.
Requirements Bachelor's degree in Engineering, Business Administration, or a related field.
A minimum of 3 years of experience in records management, preferably within an engineering or technical environment.
Strong understanding of engineering documentation and standards, with the ability to interpret technical drawings and specifications.
Proficiency in document management software and Microsoft Office Suite, particularly Excel and Word.
Excellent organizational skills with a keen attention to detail and accuracy.
Strong communication skills, both written and verbal, to effectively interact with team members and stakeholders.




Ability to work independently and manage multiple priorities in a fast-paced environment.
Familiarity with regulatory compliance related to engineering documentation is a plus.
Experience with digitalization projects and document management systems is highly desirable.
Nice to have Certification in records management or a related field is an advantage.
Previous experience in the marine or defense industry would be beneficial.
Knowledge of project management principles and practices.
Familiarity with CAD software and engineering design tools.
Experience with quality management systems and audits.
Skills & tools Proficient in using document management systems and software for organizing and tracking records.
Strong analytical skills to assess the quality and completeness of engineering documentation.
Effective problem-solving skills to address challenges related to record management.
Ability to adapt to new technologies and processes related to documentation and records management.
Robust teamwork and collaboration skills to work effectively with cross-functional teams.
Practical notes This position is based in Dartmouth, Nova Scotia, and requires the candidate to work on-site.
