About the role: As an Administrative Operations Officer at Utrs, you will play a crucial role in ensuring the smooth functioning of our operational processes. This position is designed for individuals who are adept at managing administrative tasks while also possessing a keen understanding of operational efficiency. You will be based in Dover, New Jersey, and will work closely with various teams to streamline workflows, enhance productivity, and support organizational goals. What you'll do Oversee daily administrative operations, ensuring that all processes run smoothly and efficiently.
Collaborate with cross-functional teams to identify areas for improvement in operational workflows.
Develop and implement administrative policies and procedures that align with the company's strategic goals.
Manage scheduling and coordination of meetings, ensuring that all necessary resources are available.
Maintain accurate records and documentation related to operational activities and administrative functions.
Assist in the preparation of reports and presentations for management, providing insights into operational performance.
Act as a point of contact for internal and external stakeholders, addressing inquiries and facilitating communication.
Support the onboarding process for new employees,



ensuring they have the necessary resources and information to succeed.
Monitor and manage office supplies and inventory, placing orders as needed to maintain adequate stock levels.
Conduct regular assessments of administrative processes to identify inefficiencies and recommend improvements.
Provide training and support to team members on administrative tools and software used within the organization.
Assist in the planning and execution of company events and meetings, ensuring logistical details are handled effectively.
Requirements Bachelor's degree in business administration, operations management, or a related field.
A minimum of 3 years of experience in an administrative or operations role, preferably in a corporate environment.
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
Excellent verbal and written communication skills, with a focus on clarity and professionalism.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools.
Experience in developing and implementing administrative processes and procedures.




Ability to work independently as well as collaboratively within a team environment.
Strong problem-solving skills and a proactive approach to addressing challenges.
Attention to detail and a commitment to maintaining high standards in all aspects of work.
Nice to have Previous experience in a similar role within the technology or logistics sectors.
Familiarity with customer relationship management (CRM) software and enterprise resource planning (ERP) systems.
Knowledge of data analysis tools and techniques to support operational decision-making.
Certification in project management or administrative management.
Experience with event planning and coordination.
Skills & tools Strong proficiency in office software, including word processing, spreadsheets, and presentation tools.
Familiarity with project management software (e.g., Asana, Trello) to track tasks and deadlines.
Basic understanding of financial management principles to assist with budget tracking and reporting.
Ability to utilize communication tools effectively, such as email, video conferencing, and collaboration platforms.
Practical notes This position is based in Dover, New Jersey, and may require occasional travel for meetings or events.
