Position Description Vortex Strategy & Recruitment is actively seeking an Intellectual Property (IP) Paralegal for its client, a leading national law firm located in downtown Montreal.
Your Role and Responsibilities Organize and manage litigation files, including the use of litigation management software such as ACL.
Prepare litigation calendars, maintain status reports, and ensure compliance with all procedural deadlines.
Act as the primary liaison between clients, administrative assistants, and legal professionals.
Communicate effectively, both in writing and in person, with court personnel to foster solid collaborative relationships.
Draft or assist in the preparation of court documents, including affidavits, motions, affidavits of documents, bills of costs, and other litigation materials.
Coordinate the service and filing of court documents.
Stay current with court practices, procedures, and notices.
Create and maintain document databases, establish cross references between court filings and exhibits, and preserve transcript records for research purposes using litigation support software such as Relativity.
Organize trial files, assist in coordinating courtroom access, and manage electronic trial access and logistics.
Provide litigation support before and during trials and hearings, including coordinating witness attendance.
Review transcripts, prepare summaries, and develop follow up action lists.
Gather and organize responses to undertakings.
Coordinate the production and service of legal documents across Canada and arrange for the service of documents internationally.
Prepare charts, timelines, and documentary evidence summaries for examinations for discovery and trial.
Search for or file court documents with the Federal Court Registry.
Perform other related duties as required.
Qualifications Diploma in Paralegal Technology (DEC) or equivalent, with a minimum of five (5) years of experience as a paralegal or legal technician, and a strong understanding of current legal policies and procedures.
Experience appearing before the Federal Courts and the courts of Qubec.
Advanced proficiency with Microsoft Office, particularly Word and Excel, as well as Kofax and Adobe Acrobat.
Excellent verbal and written communication skills.
Experience using the Relativity platform.
Proven ability to manage a high volume of work efficiently.
Ability to work independently while collaborating effectively within a large team.
Bilingualism (French and English, spoken and written) is considered an asset.
