A career as an Administrative Receptionist in Administration at National Bank Equipment Finance is to provide a professional, welcoming, and reliable first point of contact for employees, clients, visitors, vendors, and partners.
In this role, you will support the daily operation of the office by managing reception activities, visitor coordination, mail and courier services, office supplies, and general administrative support.

- Greet employees, clients, vendors, and visitors in a professional and friendly manner, in person and by phone.
- Receive, log, sort, distribute, and track incoming and outgoing mail, courier items, registered mail, faxes, and shipping labels.
- Coordinate postage and courier cost allocation, maintain postage meter funds, and respond to mail and courier-related inquiries.
- Monitor and order office and coffee supplies, validate invoices, and obtain required approvals.
- Maintain visitor & employee key card access, inventory, and reception process records.
- Report building issues, and provide administrative support for office committees, projects, filing, scanning, and engagement activities.

Your team:
This position reports to the Assistant Manager, Administration. You will work closely with Administration team members and interact regularly with employees across the organization, including senior executives, as well as external clients, vendors, couriers, visitors, and service providers.
This role is suited to a service-oriented professional who enjoys supporting others, managing multiple priorities, maintaining organized office processes, and contributing to a positive workplace experience.
Required skills:

- High school diploma required; post-secondary education or relevant learning courses preferred.
- Minimum of 1 year of related administrative, reception, office services, or front-line client service experience.
- Strong technical skills in Microsoft Outlook, Excel, and Word.
- Strong customer service orientation with the ability to interact professionally with employees, executives, clients, vendors, and visitors.
- Excellent organization and time management skills, with the ability to manage competing priorities and deadlines in a rapid-paced environment.
- Strong attention to detail and ability to maintain accurate logs, records, spreadsheets, and internal information.
- Ability to work independently, use sound judgment, resolve routine issues, and handle confidential information with discretion.
- Collaborative mindset with a willingness to support team engagement, knowledge sharing, and continuous improvement.
