Position Summary The Chief of Staff is a trusted partner to the executive leadership team, responsible for ensuring the smooth operation of the Executive Office while driving organizational alignment, operational excellence, and strategic execution. This role serves as the central point of coordination for executive priorities, providing both strategic support and high-level executive administration.

The Chief of Staff works closely with the CEO and all members of the Executive Leadership Team to manage priorities, coordinate cross-functional initiatives, facilitate communication, and ensure key business objectives are executed efficiently. The role combines elements of executive operations, project management, and executive assistance, requiring exceptional organization, discretion, and the ability to anticipate needs in a fast-paced environment.

Key Responsibilities

Executive Support

Manage complex calendars, meetings, and schedules for the CEO and support members of the Executive Leadership Team as required.

Coordinate executive travel,



accommodations, and itineraries.

Prepare meeting agendas, presentations, reports, and briefing materials.

Record meeting minutes, track action items, and ensure timely follow-up.

Manage confidential correspondence and communications on behalf of executives.

Act as a primary point of contact for executive requests and priorities.

Executive Operations

Coordinate the activities of the Executive Leadership Team to ensure alignment across departments.

Assist in planning quarterly business reviews, leadership meetings, company-wide meetings, and strategic planning sessions.

Monitor executive priorities and ensure deadlines and commitments are met.

Improve executive workflows and operational processes to increase efficiency.

Project & Strategic Coordination

Lead and coordinate cross-functional projects assigned by the CEO or Executive Team.

Track progress on strategic initiatives and provide regular status updates.

Identify roadblocks and proactively coordinate solutions across departments.

Support implementation of new business processes and organizational initiatives.

Facilitate communication between executives and departmental leaders.

Draft executive communications, presentations, and internal announcements.

Ensure decisions made by leadership are effectively communicated and followed through.

Build strong working relationships across all departments.

Organize board meetings,



executive off-sites, leadership retreats, and special events.

Maintain executive documentation, records, and confidential files.

Coordinate approvals, signatures, and executive documentation.

Support governance activities and maintain high standards of confidentiality.

Qualifications

Experience

5+ years of experience supporting senior executives in an Executive Assistant, Chief of Staff, Executive Operations, or Business Operations role.

Experience working with multiple senior leaders simultaneously.

Experience managing projects and coordinating cross-functional initiatives.

Experience in a fast-paced technology or startup setting is considered an asset.

Exceptional organizational and time management skills.

Strong project management and coordination abilities.

Ability to prioritize competing demands with minimal supervision.

High level of professionalism, discretion, and confidentiality.

Ability to build relationships across all levels of the organization.

Proficiency with Microsoft Office, Google Workspace, project management platforms, and virtual collaboration tools.
