Dental Receptionist / Scheduling & Patient Flow Coordinator
Job Overview
Join our dental team as a Dental Receptionist and Scheduling & Patient Flow Coordinator. In this important position, you will be the first point of contact for our patients and will help ensure that appointments, follow-ups and daily patient flow are managed effectively.
We are looking primarily for someone with the right attitude: capable, friendly, reliable, flexible and willing to take ownership of their responsibilities. Dental-office experience is an asset, but it is not mandatory. We are open to training a strong candidate who learns quickly, communicates effectively and consistently follows tasks through to completion.
Key Responsibilities
Welcome patients warmly and help create a friendly, professional and reassuring environment.
Communicate effectively with dentists, hygienists, assistants, patients and other Front Desk team members.
Answer incoming calls promptly and respond to patient questions clearly and professionally.
Schedule new and returning patients accurately and maintain an organized, productive appointment schedule.
Confirm appointments and manage cancellations, rescheduling requests and schedule changes.
Proactively identify openings and work to fill scheduling gaps.
Maintain cancellation lists, outstanding follow-ups and patient reminders.
Coordinate with dentists, hygienists and assistants to support efficient patient flow.
Monitor assigned tasks and follow-ups closely, ensuring they are completed rather than left unresolved.
Keep patients and relevant team members informed when a matter requires additional time or action.
Verify insurance information and process patient payments accurately.
Maintain complete and accurate patient records while following privacy and confidentiality requirements.
Use Max Assist and Tracker to document activities, manage follow-ups and support daily operations.
Manage correspondence and patient communications in a timely and professional manner.
Identify problems early and escalate them with clear information and, whenever possible, a suggested solution.
Remain flexible and support other Front Desk responsibilities when priorities or operational needs change.

Experience and Qualifications
Approximately three years of dental reception or dental-office experience is preferred, but not required.
Candidates without dental-office experience are encouraged to apply if they demonstrate strong capability, reliability, initiative and willingness to learn.
Experience with Max Assist, Tracker or other dental practice-management software is an asset, but training can be provided.
Previous reception, scheduling, customer-service, healthcare or administrative experience is an asset.
Familiarity with dental terminology, insurance processes or electronic patient records is helpful but not mandatory.
Dental assisting or chairside experience is considered an additional asset, but it is not required.
A relevant college certificate or diploma is preferred but not required.
