The Executive Assistant serves as a key operational and administrative partner to the VP of Underwriting and underwriting leadership team. This role is responsible for reporting, analytics, recruitment coordination, audit administration, authority tracking, project management, and executive support activities that improve operational efficiency, strengthen governance, and enable data-driven decision-making across the underwriting department.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Reporting & Business Analytics

- Produce weekly, monthly, quarterly, and annual underwriting reports and share with internal stakeholders
- Analyze underwriting productivity, workflow, and portfolio trends.
- Maintain dashboards, KPIs, and management reporting.
- Prepare reports and presentation materials for meetings.

Recruitment & Talent Support

- Coordinate recruitment activities, candidate screening, interview scheduling, and communications.
- Track hiring metrics and recruitment timelines.
- Maintain job descriptions and assist with coordination of Annual Performance Reviews

Underwriting Governance & Quality Assurance

- Maintain underwriting authority tracking and coordinate authority reviews
- Support underwriting file audits and remediation tracking.
- Monitor data quality and reporting accuracy.

Project & Operational Coordination

- Track strategic initiatives, project plans, and departmental action items.
- Support implementation of new products, processes, and operational improvements.
- Maintain underwriting procedures, guidelines, and departmental documentation.
- Coordinate onboarding, training, and compliance-related activities

Executive & Leadership Support

- Manage calendars, meetings, agendas, and action item follow-up.
- Prepare executive presentations, reports, and communications.
- Coordinate leadership meetings, travel arrangements, and special projects.
- Support departmental budgeting and administrative requirements.
- Anticipate administrative and operational needs, proactively removing obstacles and coordinating resources to support leadership objectives.
- Run business-related errands and provide logistical support within and outside the office, including between Langley & Vancouver office locations

High school diploma or equivalent

Hybrid - Langley, BC & Remote Pay Range 47000 - 52000 Annual Actual salary will be determined based on qualifications, experience, and work location. Package may include base pay, commissions, and/or bonuses.
