Cecil Community Centre is a not-for-profit, multi-service neighbourhood centre offering recreational, educational, social, cultural, and capacity-building programs to residents of all ages. For over 40 years, we have been a vital part of the Kensington-Chinatown community, providing programs and services for children, youth, adults, and seniors, and growing alongside the people we serve.

We are seeking an organized, proactive, and detail-oriented Executive Assistant to provide administrative and operational support to the Executive Director and Board of Management, ensuring smooth day-to-day operations of the Centre’s leadership functions.

Position SummaryThe Executive Assistant plays a key role in supporting the Executive Director (ED) through administrative coordination, scheduling, document preparation, communications, and governance support. This position also liaises with community partners, staff, and Board members and ensures confidentiality, efficiency, and professionalism in all aspects of the ED’s office operations. Core Responsibilities

Administrative

Support

Manage the Executive Director’s calendar, appointments, correspondence, and travel arrangements.

Prepare and edit reports, presentations, and communications on behalf of the ED.

Maintain organized filing systems (electronic and paper) for confidential documents and records.

Coordinate meetings, take minutes, and track action items.

Board and Governance Support





Assist in preparing and distributing Board and committee meeting materials.

Record and draft Board and committee meeting minutes.

Support compliance with governance, policy, and reporting requirements.

Operational Support

Assist with coordination of staff meetings, internal communications, and organizational projects.

Coordinate community or public events led by the Executive Director or Centre.

Communications

Draft professional correspondence, memos, and announcements.

Serve as a liaison between the ED’s office and internal/external stakeholders.

Maintain confidentiality and discretion at all times.

Coordinate and manage the Centre's social media presence, including content scheduling, posting, and engagement support.

Update and maintain the Centre's website, ensuring organizational information, programs, events, and resources are current and accurate.

Qualifications

Education

· Post-secondary education in Business Administration, Office Administration, Nonprofit Management, or related field.

· Minimum 3–5 years of progressive administrative experience, preferably in a nonprofit, government, or community service environment.

· Experience supporting senior leadership or Boards of Directors.

· Familiarity with community-based organizations, social services,



or public sector operations is an asset.

Knowledge and Skills Required

Strong knowledge of office administration and executive support best practices.

Excellent written and verbal communication skills.

Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Teams, and document management tools.

Exceptional organizational skills with the ability to manage multiple priorities and deadlines.

Sound judgment, professionalism, and discretion with confidential information.

Strong attention to detail and accuracy.

Ability to work independently and collaboratively in a diverse, inclusive environment.

Knowledge of nonprofit governance, record keeping, and reporting procedures is an asset.
