Family Law Legal Assistant for mid sized law firm client, downtown Toronto.
Job Type: Full-Time Permanent
Target Compensation: From $65,000 to $85,000+ per annum, according to experience.

Regular Work Hours: 7 hours per day with a 1 hour lunch break, to be worked during regular business hours, Monday to Friday.
Work Location: 100% onsite at client's downtown Toronto office near TTC station.
Responsibilities Summary:
Provide comprehensive legal and administrative support to team of family law professionals, utilizing advanced knowledge of family law procedures, excellent organizational skills, solid client service, and the ability to manage a busy and fast-paced practice with minimal supervision.
- Prepare, draft, and revise legal documents including Applications, Answers, Financial Statements, Affidavits, Case Conference Briefs, Settlement Conference Briefs, and Orders.
- Manage and organize client files (electronic and paper), ensuring accuracy, confidentiality, and compliance with firm policies.
- Schedule client meetings, court appearances, mediations, discoveries, and case conferences; coordinate with opposing counsel, court staff, and experts.
- Assist with the preparation of briefs, disclosure documents, and trial materials.
- Handle court filings (electronic and in-person) with the Ontario Family Court system, including the Superior Court of Justice.
- Communicate professionally with clients, opposing counsel, court staff, and other stakeholders.
- Track deadlines and ensure lawyers are prepared for hearings, conferences, and client meetings.
- Perform general administrative duties such as dictation, correspondence, billing,
and time entry.
- Additional family law legal assistant responsibilities as required.
Qualifications:
Education: Post Secondary Degree or Diploma in Legal Administration.
Professional Credentials: Law Clerk Certificate an asset.
Preferred Work Experience: At least 5+ years of experience supporting a family law practice.
Technical and Language Skills Requirements:
- Advanced proficiency with MSWord (will be tested).
- Proficiency with MSOutlook and MSTeams (will be tested).
- Fast and accurate typing speed and superior attention to detail (will be tested).
- Experience with DivorceMate.
- Strong English communication skills, both written and verbal, including advanced level business writing skills, excellent spelling, grammar, proofreading and syntax, and polished, professional telephone manners.
Task-Based Qualifications and Additional Attributes:
- Thorough knowledge and understanding of the statutes of Family Law rules and procedure.
- Thorough knowledge and understanding of court procedures and filing deadlines, including filing court material online.
- Punctual, responsible, and reliable. Demonstrated record of professional conduct and character.
- Focused and able to work effectively with minimal direction and supervision, to prioritize tasks effectively, and to manage volume targets and due dates.
- Pleasant and courteous. Demonstrated commitment to client service and professional representation of the organization.
- Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.
- Superior attention to detail, and organized, methodical approach to completion of tasks.
- Advanced organizational, coordinative and time management skills, with the ability to prioritize tasks effectively for self and others, meet tight deadlines and work well under pressure.
- Demonstrated ability to work well both independently and collaboratively, and liaise effectively with a wide and diverse range of internal and external skilled contacts.
Additional Requirements:
- Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
- Ability to work 100% onsite, abiding by organization health and safety policies.
- Ability to declare personal Non-Conflict of Interest in execution of position responsibilities.
- Satisfactory Background Checks, Technical Skills Evaluations, and Employment References.
