Responsibilities

- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy.
- Perform data entry tasks accurately using Microsoft Office applications and Google Workspace tools to maintain up-to-date records.
- Organize and file documents systematically, ensuring easy retrieval and compliance with company policies.
- Provide exceptional customer support by responding promptly to inquiries via phone, email, or in person.
- Assist with bookkeeping duties using QuickBooks or similar accounting software to process invoices, payments, and expense reports.
- Support medical or dental office functions by managing appointment scheduling, patient records, and insurance documentation when applicable.
- Coordinate office supplies procurement and inventory management to ensure operational efficiency.
- Proofread correspondence and documents for accuracy and clarity before distribution.




- Maintain organized filing systems—both physical and digital—to streamline information flow across departments.

Skills

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications for effective communication and documentation.
- Strong computer skills with the ability to learn new software quickly; experience with QuickBooks is highly desirable.
- Excellent organizational skills with keen attention to detail for data entry, proofreading, and record keeping.
- Demonstrated clerical experience in an office environment, including filing, scanning, and managing multi-line phone systems.
- Exceptional customer service skills combined with professional phone etiquette for front desk interactions.
- Ability to handle multiple tasks efficiently while maintaining a positive attitude under pressure.
- Previous experience in medical or dental offices is a plus—familiarity with patient records management and appointment scheduling is advantageous.
- Strong typing skills for quick data entry; adept at proofreading documents for accuracy.
- Knowledge of bookkeeping principles for handling invoices and financial transactions using QuickBooks or similar software.
