This is our first dedicated Payroll Administrator role: you'll own end-to-end payroll processing for a multi-location, cross-border retail workforce (hourly store staff and salaried corporate staff) across the US and Canada. You'll be the go-to person ensuring every employee is paid accurately and on time, every deduction and filing is compliant, and every new store opening is set up correctly from day one.They will be the first and main line of contact with retail stores and corporate employees, managing day-to-day payroll inquires and functions, including processing promotions, terminations, and other personnel changes. This role suits someone who's detail-obsessed, comfortable owning a process solo, and experienced enough in both US and Canadian payroll to navigate the differences confidently without heavy oversight.
Key Responsibilities
Manage the workflow and processing of bi-weekly payroll across both the US (Gusto) and Canada (ADP)
New Hire Onboarding
Coordinate with retail stores on employee onboarding — monitoring email communications and following up on outstanding items
Launch, track, and finalize onboarding through ADP and Gusto
Create and maintain digital employee file folders
New hire data entry into our HRIS & payroll systems
Maintain accurate data integrity across ADP and Gusto
Action and organize employee promotions, transfers, and general profile updates
Process employment status changes for both our US and Canadian employee populations
Process terminations within the system, ensuring compliance with final pay requirements by state/province
Support payroll reconciliation and pre-processing checks, including ADP and Gusto data audits, to ensure payroll is processed accurately and on time
Focus on SOPs and process — building new and elevating existing Payroll/HR workflows
Maintain payroll tax and compliance across our US footprint (6+ states) and Canadian provinces
Provide an excellent customer service experience daily to internal and external stakeholders at every level
Maintain, update, and format Excel payroll reports on a daily, weekly, and bi-weekly basis
All other duties or projects as assigned Training will be provided: you don't need to walk in knowing our exact processes on day one; we'll set you up to succeed in both systems and our specific compliance requirements. Qualifications
2+ years of payroll experience, with hands-on experience running both US and Canadian payroll (required — this is a dual-country role from day one).
Experience with multi-location/multi-jurisdiction payroll, ideally in a retail or hourly-workforce setting.
Working knowledge of wage & hour compliance across multiple US states and Canadian provinces (Quebec experience a strong plus).
Experience with ADP and/or Gusto strongly preferred (we run ADP for Canada and Gusto for the US);
experience integrating timekeeping/POS systems for hourly staff is a plus.
High attention to detail and comfort handling confidential compensation data with discretion.
Comfortable being a "department of one" — able to build and own a process independently, escalating judgment calls rather than needing day-to-day direction.
