This role is a current 12‑month contract vacancy on the Allied team.
Purpose
Provide administrative support across a portfolio of construction projects. As a Project Coordinator, Construction, you will support contract coordination, vendor management and financial processes. Reporting to the Senior Director, Technical Services, you will collaborate across the organization to play a key role in ensuring projects are well documented, financially tracked and delivered according to expectations and timelines.
Responsibilities - Support the development of project plans and budgets.
- Manage all project-related administration and documentation.
- Lead or assist with the preparation, review and formal award of tenders.
- Monitor, schedule, track and update preventative maintenance schedules and deadlines for all Montréal properties.
- Coordinate with the Allied team to ensure project timelines and expectations are met.
- Present updates and track project milestones on behalf of leadership.
- Review and administer project-related account payables to ensure accuracy and completeness.
- Support departmental communications and tools with a focus on process improvement and efficiency between the team and any internal and external stakeholders.
- Maintain project data and systems information, ensuring all files are complete and accurate, have valid and executed documentation, and are properly filed in SharePoint.
- Organize, schedule and track (with the property team, users and service providers) various reports and tasks, including but not limited to Annual Fire Drills, Annual Fire Alarm and Sprinkler Inspections, Annual Infrared Inspections, Asbestos Management & Abatement Program, annual and bi-annual training requirements for all building operations staff.
- Facilitate the operating and construction permitting process with the city of Montreal.
- Support departmental administration with various tasks.
Qualifications - Undergraduate degree in a related field.
- 2 years of progressive experience in Interior Design, Architecture, Commercial Construction, Engineering, Facilities Management or Project Management.
- Capable of reading and interpreting architectural and engineering drawings.
- Knowledge and understanding of construction contracts.
- Highly developed written and oral communications skills.
- Superior customer service & collaborative relationship management.
- Valuable judgment, decision-making and reliable problem-solving skills.
- Strong computer skills, with knowledge of MS Excel, MS Word, PowerPoint, and BlueBeam.
- An assertive self-starter with the ability to work independently under minimal supervision.
- Detail orientated & strong skills in organization, planning and time management.
- Team player.
