Role Description As a Proposal Coordinator, you will work closely with proposal managers to prepare responses to Requests for Proposals (RFPs), Requests for Information (RFIs), and Requests for Qualifications (RFQs).
Key Responsibilities - Administrative Support
- Review and suggest improvements to sales documents (proposals, letters, presentations, etc.)
- Assemble and format documents for proposals and tenders
- Maintain the proposal team’s intranet (Dynamics O365 and SharePoint)
- Organize and update electronic and paper filing systems for sales documentation and templates
- Proposal Coordination
- Download and translate proposal documents as needed using translation tools
- Assist in drafting responses tailored to each market (summary, language, requirements)
- Prepare corporate and administrative sections of proposals
- Conduct detailed research to support proposal content
- Manage certain RFI and RFQ responses with guidance from proposal managers
- Prepare proposals for existing clients using pre-defined templates
- Occasionally draft maintenance renewal letters Qualifications - College or university degree in a relevant field
- 3–5 years of related experience
- Strong planning, organizational, and attention-to-detail skills
- Ability to manage multiple tasks under tight deadlines
- Customer-focused mindset (internal and external)
- Excellent writing skills in French and English (regular English writing required)
- High level of autonomy and initiative
- Proficiency in Microsoft Office
- Familiarity with proposal tools such as Responsive.io or Loopio (asset)
