Receptionist – Northern Denture Clinic

Job Summary

The Receptionist is responsible for providing exceptional customer service while ensuring the efficient day-to-day operation of the clinic. This role serves as the first point of contact for patients, greeting them in a friendly and professional manner, scheduling appointments, answering telephone inquiries, managing patient records, processing payments, and coordinating insurance claims. The Receptionist assists with patient intake, maintains accurate administrative documentation, and supports the denturist by ensuring appointments, laboratory work, and patient communications are well organized. No previous experience with dental practice management software is required; however, the successful candidate must be willing to learn and become proficient in the clinic’s software to efficiently manage scheduling, patient records, insurance claims, and other administrative tasks. Additional responsibilities include maintaining confidentiality, managing office supplies, handling correspondence, and creating a welcoming, organized, and professional environment for every patient.

Key Responsibilities

- Welcome and check in patients in a courteous and professional manner.
- Answer telephone calls, emails, and respond to patient inquiries.
- Schedule, confirm, and manage patient appointments.
- Register new patients and update patient records.
- Verify insurance information and process insurance claims and pre-authorizations.
- Collect payments and issue receipts.




- Maintain patient files in accordance with PHIPA privacy legislation.
- Coordinate communication between patients, the denturist, and dental laboratories when required.
- Prepare and organize paperwork, consent forms, and treatment documentation.
- Manage recall appointments and patient follow-up communications.
- Order and maintain office supplies and reception inventory.
- Keep the reception area clean, organized, and welcoming.
- Assist with general administrative duties, including filing, scanning, faxing, and data entry.
- Support the daily workflow of the clinic to ensure efficient patient care.

Qualifications & Skills

- Excellent communication and interpersonal skills.
- Strong organizational and time-management abilities.
- Professional and compassionate patient care approach.
- Experience with dental or denturist practice management software (Akitu One) is an asset.
- Knowledge of dental insurance and the Canadian Dental Care Plan (CDCP) is an asset.
- Bilingualism in English and French is an asset.
- Ability to multitask in a quick-paced clinical environment.
- High level of accuracy, attention to detail, and confidentiality.
- Previous experience in a medical, dental, or denturist office is preferred but not required.

Work Schedule

- Monday to Thursday: 9:00 a.m. – 4:00 p.m.
- Friday: 9:00 a.m. – 12:00 p.m.
- Hours can be flexible upon request.

Compensation

- Salary: To be discussed based on qualifications and experience.
