About the role As a Service Project Coordinator at Protocase, you will play a pivotal role in ensuring the seamless execution of our service projects. This position is designed for individuals who thrive in dynamic environments and possess strong organizational skills. You will be responsible for coordinating various aspects of service delivery, working closely with clients and internal teams to ensure that projects are completed on time and within budget. Your contributions will directly impact client satisfaction and the overall success of our service offerings.

What you’ll do Oversee the planning and execution of service projects, ensuring alignment with client expectations and company standards.
Collaborate with cross-functional teams, including engineering, production, and customer service, to facilitate project workflows.
Act as the primary point of contact for clients throughout the project lifecycle, providing updates and addressing any concerns that may arise.
Develop and maintain project timelines, ensuring that all milestones are met and resources are allocated efficiently.
Prepare and present project proposals and status reports to stakeholders, highlighting key metrics and progress.
Monitor project budgets and expenditures, identifying areas for cost savings and ensuring financial accountability.
Conduct post-project evaluations to assess outcomes and gather feedback for continuous improvement.
Assist in the development of project documentation, including scope definitions, risk assessments, and change management plans.
Foster strong relationships with clients, understanding their needs and ensuring that Protocase delivers exceptional service.
Support the training and onboarding of new team members, sharing best practices and project management methodologies.




Utilize project management software and tools to track progress and streamline communication among team members.
Stay updated on industry trends and best practices to enhance project delivery and client satisfaction.
Requirements Bachelor's degree in Business Administration, Project Management, or a related field.
A minimum of 3 years of experience in project coordination or management, preferably in a manufacturing or service-oriented environment.
Proven ability to manage multiple projects simultaneously while maintaining attention to detail.
Strong communication skills, both written and verbal, with the ability to effectively interact with clients and team members.
Proficiency in project management software and tools, such as Microsoft Project, Trello, or Asana.
Excellent problem-solving skills and the ability to think critically under pressure.
A collaborative mindset, with a focus on teamwork and building positive relationships.
Nice to have Certification in Project Management (PMP, CAPM, or equivalent) is a plus.
Experience in the manufacturing sector or familiarity with custom fabrication processes.
Knowledge of Lean or Six Sigma methodologies to enhance project efficiency.
Familiarity with customer relationship management (CRM) systems.
Skills & tools Strong organizational and time management abilities.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software.
Ability to analyze data and generate reports to inform decision-making.
Strong interpersonal skills to foster collaboration and teamwork.
Adaptability to changing priorities and project scopes.
Practical notes This position is based in Sydney, Nova Scotia, and may require occasional travel to client sites or other Protocase locations.
The role may involve working in a fast-paced workplace with tight deadlines, requiring flexibility and resilience.
