Job Description Vortex Strategy & Recruitment is actively seeking a Conference Centre & Events Manager for its client, a leading international law firm located in downtown Montreal.
The successful candidate will oversee the delivery of reception services, meeting room reservations, guest services, and event management for the Montreal office by carefully planning all related details and supervising staff in connection with daily operations and special events.
As a member of the Administrative Management team, this individual will work closely with various departments, particularly the Business Development team, playing a key role in the planning and execution of client events and seminars.
The incumbent will oversee every aspect of event coordination, from the initial logistical planning stages through execution and post-event follow-up.
Your Role and Responsibilities Coordinate, organize, and execute the firm''s internal and external events, including social activities and client events; Manage the daily scheduling, planning, and communication with the Montreal reception and guest services team; Provide leadership, mentorship, and training to team members; Ensure the implementation of best practices in customer service; Apply the firm''s standards and requirements, ensure quality control, and maintain an exceptional client experience; Prepare the department''s budget and monitor expenditures, review all vendor invoices, and oversee all entries in the Event Management System (EMS); Negotiate service contracts and manage vendor agreements; In collaboration with the Business Development team,
oversee the distribution of tickets for sporting and cultural events; Purchase and manage the firm''s promotional items as well as client corporate gifts; As a member of the Administrative Management team, participate in office projects requiring departmental input; Participate in national initiatives and events; Ensure that staff under their supervision work in accordance with the firm''s policies and practices, as well as the Quebec Occupational Health and Safety Act and all applicable legislation; proactively inform staff of any actual or potential health and safety risks; take all reasonable precautions to protect the health and safety of employees; Maintain the confidentiality of firm and client information; and Perform any other duties as assigned.
Qualifications An equivalent combination of education, training, and experience will be considered.
Two to five years of supervisory experience in a fast-paced, dynamic setting.
At least two years of experience in event planning and event management.
Strong knowledge of occupational health and safety, food service, security, and hygiene regulations.
Excellent communication and interpersonal skills.
Ability to coordinate multiple priorities and simultaneous deadlines.
Exceptional attention to detail, with strong organizational and time management skills.
Previous experience supervising a team.
Sound judgment with strong decision-making and problem-solving abilities.
Ability to thrive in a fast-paced, high-pressure environment with a strong commitment to client service.
Proficiency with the firm''s software and reception-related systems, including Microsoft Office Suite, iManage (document management system), One
Place (contact management database), and EMS.
